Job description

Position Summary
DT Professional Services is seeking an Executive Assistant/Secretary to join our team in Port Hueneme, CA. This position provides administrative and operational support to leadership within the Human Resources and Infrastructure divisions. Responsibilities include executive calendar management, travel coordination, correspondence, personnel actions, timekeeping, training administration, procurement, and other essential administrative functions that support daily operations and mission success.
Key Responsibilities
  • Provide administrative support to division leadership and staff, ensuring continuity of operations and compliance with applicable policies and procedures.
  • Manage leadership calendars; schedule meetings, briefings, interviews, and other events; and coordinate associated logistics.
  • Serve as a primary point of contact for leadership, employees, and external stakeholders, facilitating communication and tracking action items.
  • Answer and route telephone calls and respond to routine inquiries on behalf of leadership.
  • Coordinate travel arrangements and process travel authorizations and vouchers in the Defense Travel System (DTS).
  • Prepare, review, and distribute formal correspondence in accordance with the Navy Correspondence Manual.
  • Prepare meeting agendas, record minutes, and track follow-up actions.
  • Support timekeeping processes by running reports, identifying discrepancies, and ensuring accurate labor charging and approvals.
  • Process personnel actions, employment verifications, onboarding documentation, and other personnel-related administrative activities.
  • Coordinate training and workforce development activities, including course administration, training records management, and instructor support.
  • Maintain staff directories, seating charts, organizational records, and other administrative files.
  • Process office supply and procurement requests through approved systems, track orders, and provide status updates.
  • Maintain reports, metrics, and records to support organizational readiness, compliance, and workforce management.
  • Audit, organize, and maintain administrative, personnel, and training files.
  • Provide backup administrative support and assist with special projects as assigned.
Minimum Requirements
  • Active Secret Clearance.
  • Associate degree in any field, or equivalent combination of education, training, or additional relevant work experience.
  • 2 years or more of administrative, secretarial, executive assistant, or related experience.
  • Experience managing calendars, scheduling meetings, and coordinating administrative activities.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and SharePoint.
  • Strong organizational, communication, and customer service skills.
  • Ability to handle sensitive and confidential information with discretion.
Preferred Qualifications
  • Experience supporting timekeeping, payroll, or labor reporting functions.
  • Experience supporting DoD, Navy, NAVSEA, or other federal government organizations.
  • Experience with personnel actions, onboarding, and human resources support functions.


The compensation for this position: $24.00-$25.00 hourly
