What is executive ministry?

Executive ministry refers to the leadership and administration roles within a religious organization, such as a church, denomination, or faith-based institution. Individuals in executive ministry oversee operations, provide strategic direction, manage staff, and ensure that the organization's mission and values are upheld. These roles often include titles like Executive Pastor, Ministry Director, or Chief Ministry Officer. Executive ministers work closely with other leaders to develop programs, manage budgets, and support the spiritual and operational health of the organization.

What are some common challenges faced by professionals in Executive Ministry roles, and how can these be managed effectively?

Professionals in Executive Ministry roles often encounter challenges such as balancing administrative duties with spiritual leadership, managing diverse teams, and responding to the evolving needs of their congregation or organization. Effective communication, delegation, and time management are crucial for handling these demands. Developing strong relationships with staff, volunteers, and community members, as well as pursuing ongoing professional development, can help Executive Ministers navigate these challenges and foster a positive, mission-driven environment.

What are the key skills and qualifications needed to thrive as an Executive Minister, and why are they important?

To thrive as an Executive Minister, you need a deep understanding of theology, organizational leadership, and pastoral care, usually supported by a divinity degree or equivalent ministerial training. Familiarity with church management software, budgeting tools, and communication platforms is often required. Excellent interpersonal skills, emotional intelligence, and the ability to inspire and lead diverse teams are crucial soft skills. These competencies enable effective spiritual leadership, organizational growth, and meaningful community engagement within a ministry setting.

Behind every thriving ministry is someone creating clarity, removing obstacles, and helping leaders stay focused on what matters most. That's exactly what this role is about.
As the part time Executive Administrative Assistant, you'll support the Willow Huntley Campus Pastor and Pastor of Multiplication-freeing them up to invest in people, develop leaders, and expand the impact of the church. Your work will quietly-but powerfully-help make all of that possible.
Why This Role Matters
When this role is done well:

  • Pastors are focused on people, not logistics
  • Volunteers are thriving, equipped, and making a difference
  • Ministry runs smoothly, proactively, and with excellence
  • More people are reached, cared for, and discipled
You're not just managing tasks-you're helping create the conditions where ministry can flourish.
What You'll Do
  • Build and lead a volunteer team by recruiting, onboarding, and developing administrative volunteers
  • Bring order and clarity through calendar management, communication, and organization
  • Coordinate key moments like meetings, events, and ministry gatherings with excellence
  • Keep projects moving by anticipating needs and solving problems early
  • Support day-to-day operations including data entry, purchase card reconciliation, and logistics
The Details
  • Part-time (20 hours/week), Monday - Thursday
  • Salary range is $26,800 - $36,500 and will depend upon experience, skillset and/or education
  • Primarily based at the Willow South Barrington Campus
  • Some flexibility for events and key ministry moments
Requirements
Who You Are
  • Organized, detail-oriented, and able to juggle multiple priorities
  • Proactive-you anticipate needs instead of waiting to be asked
  • Relational-you enjoy building and encouraging people
  • Discreet and trustworthy with confidential information
  • Motivated by purpose-you want your work to make a difference
What You Bring
  • Experience supporting leaders, teams, or ministries
  • Strong communication and time management skills
  • Ability to manage details without losing sight of the bigger picture
  • Comfort with tools like Google Workspace (or willingness to learn)
  • A heart for the local church and a growing, authentic faith
  • Alignment with Willow's beliefs and values
  • Willing to be a regular attender of a Willow church campus

Ready to Make an Impact?
If you love helping others succeed, thrive on organization, and want your work to contribute to life change, we'd love to hear from you.
