About the Role A leading global hedge fund is seeking a polished, highly experienced Executive Assistant to provide dedicated, high-touch support to one of the firm's Partners. This is a demanding, fast-paced role that blends traditional EA responsibilities with personal assistant support, requiring someone who is equally comfortable managing complex international travel itineraries and handling sensitive personal matters with discretion.
What You'll Do
- Administrative Support Manage a complex, ever-shifting calendar across multiple time zones, serving as the Partner's primary point of contact for internal teams, senior executives, investors, and external partners. You'll schedule meetings and calls, prepare briefing materials and pre-reads, and maintain contacts, records, and follow-ups with precision and care.
- Travel & Logistics Coordinate extensive domestic and international travel โ commercial and private โ including flights, accommodations, ground transportation, visas, restaurant reservations, and detailed itineraries. You'll monitor travel conditions in real time and remain highly responsive outside of normal business hours when the Partner is on the road.
- Personal Assistant Support Handle personal appointments, household and family logistics, reservations, gifting, personal travel, vendor coordination, and other private matters with sound judgment and complete confidentiality.
- Expense Management Prepare and reconcile monthly expense reports, track receipts and invoices, and ensure timely, accurate submission of all business and travel-related expenses.
- Event Coordination Plan and execute meetings, dinners, off-sites, and conferences involving the Partner and internal or external guests โ managing all logistics including catering, A/V, materials, and transportation.
- External Liaison Serve as a polished, professional point of contact for high-profile investors, external partners, and service providers, always maintaining discretion and prompt follow-up
What We're Looking For
- Bachelor's degree required
- 5โ8+ years of EA experience supporting a senior executive, Partner, or principal in a high-touch environment
- Extensive experience coordinating complex domestic and international travel; personal assistant experience strongly preferred
- Exceptional attention to detail, organizational skills, and follow-through
- Strong written and verbal communication skills with the ability to interact confidently with senior-level stakeholders
- Sound judgment, high degree of discretion, and ability to handle confidential business and personal information
- Flexible, proactive, and self-directed with a service-oriented mindset
- Proficiency in Microsoft Office; familiarity with CRM tools a plus
- Comfort leveraging AI tools to improve efficiency and workflow quality
