We are seeking an experienced, polished, and highly proactive Executive Assistant to support our President/CEOย in a fast-paced, dynamic business environment. This is a high-visibility role that requires exceptional organizational skills, sound judgment, professionalism, and the ability to anticipate needs before they arise.

The ideal candidate is a strategic partner who thrives on managing complex schedules, coordinating executive-level meetings and travel, handling confidential information with discretion, and ensuring seamless day-to-day operations for a senior executive.

Key Responsibilities Executive Calendar Management
  • Manage and prioritize a complex and ever-changing executive calendar.
  • Coordinate meetings, appointments, leadership discussions, and business commitments.
  • Anticipate scheduling conflicts and proactively resolve challenges.
Travel Coordination
  • Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
  • Coordinate passport, visa, and travel documentation requirements.
  • Manage travel logistics and last-minute changes with efficiency and professionalism.
Executive Support
  • Serve as a trusted liaison between the President and internal/external stakeholders.
  • Draft, edit, and proofread executive communications, correspondence, presentations, and reports.
  • Prepare meeting materials, agendas, and follow-up action items.
  • Maintain confidentiality while handling sensitive business information.
Expense Management
  • Prepare and submit expense reports through Concur.
  • Track and reconcile expenses accurately and efficiently.
Meeting & Event Planning
  • Coordinate executive meetings, leadership events, off-site meetings, and special company functions.
  • Manage logistics including scheduling, catering, meeting space preparation, and presentation materials.
  • Support executive and corporate event planning initiatives.
Special Projects
  • Assist with strategic projects and administrative initiatives.
  • Coordinate executive gifting and special recognition programs.
  • Provide additional executive and occasional personal support as needed.
Qualifications Required
  • 10+ years of Executive Assistant experience supporting C-suite executives, Presidents, or senior leadership.
  • Proven success managing complex calendars and high-volume scheduling.
  • Experience coordinating domestic and international travel.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience using Concur expense management software.
  • Exceptional written and verbal communication skills.
  • Strong organizational, multitasking, and prioritization abilities.
  • Ability to maintain strict confidentiality and exercise sound judgment.
Preferred
  • Bachelor's degree or equivalent professional experience.
  • Experience supporting executive leadership within a corporate environment.
  • Event planning and meeting coordination experience.
