Job description

Meta is seeking an experienced Executive Administrative Partner to join the administrative team supporting the office of the Chief AI Officer. The person in this role will need to be a problem-solver with attention to detail as well as highly organized given complex needs, heavy volume, and significant projects and tasks across the office. This person will manage a complex calendar alongside project and task-based work. Additionally, the ideal candidate will be support-minded, adaptable, have experience communicating effectively with executives, cross-functional partners, and external stakeholders in both written and verbal formats, excel at relationship building and collaboration, and be proactive and resourceful in executing projects and tasks across the team and company. This position is full-time and onsite five days per week.
Responsibilities
Manage complex scheduling and logistics movements
• Manage reactive and proactive scheduling
• Coordinate internal and external meetings
• Prepare expense reports and purchase requisitions
• Travel to support large off-sites as needed
• Support onsite team needs
• Coordinate both domestic and international travel arrangements
• Build cross-functional relationships between departments
• Partner closely with org lead admins
• Communicate key org and company updates to admins and cross-functional partners
Minimum Qualifications
• 5+ years of relevant experience providing administrative support to 1 or more executives
• 5+ years of relevant experience coordinating travel logistics on behalf of 1 or more executives
• 5+ years of relevant calendar management and expense report management experience for 1 or more executives
• Experience prioritizing multiple projects
• Experience with Microsoft Office and Google Suite
Preferred Qualifications
• Experience demonstrating attention to detail, taking ownership of tasks, working proactively, and driving tasks to completion
• Experience managing logistics across multiple teams
• Prior or current experience supporting VPs at large scale tech company, particularly in a scaled office
• Experience driving events and fostering team morale
• BA/BS Degree
• Experience independently managing projects, multi-tasking, and changing direction quickly if needed
• Experience adhering to and implementing responsible, ethical AI practices (e.g., risk assessment, bias mitigation, quality and accuracy reviews)
• Project management experience
• Experience building, managing and influencing cross-functional business stakeholder relationships
• Experience collaborating and partnering closely with other administrative professionals and key cross functional partners
• Demonstrated ongoing AI skill development (e.g., prompt/context engineering, agent orchestration) and staying current with emerging AI technologies
• Experience building and maintaining trust with leadership and partners
• Consistent track record of ensuring confidentiality and discretion in all partnerships
• Experience in a multi-staff office environment
• Demonstrated ability to integrate AI tools to optimize/redesign workflows and drive measurable impact (e.g., efficiency gains, quality improvements)
