Job description

Executive Assistant to C Suite Full Time

Location: Burlingame (HYBRID)

Reports to: Chief of Staff

Position Summary:

This role sits within the Office of the CEO and serves as a key partner to senior leadership. The Executive Operations Associate will provide high-level administrative support to multiple C-level executives while also contributing to strategic projects, cross-functional coordination, and company-wide initiatives. This is a highly visible position requiring strong judgment, discretion, and the ability to operate seamlessly between tactical execution and strategic support.

Key Responsibilities

Executive Support • Manage complex calendars, scheduling, and meeting coordination for multiple senior executives

  • Coordinate domestic and international travel arrangements, including detailed itineraries
  • Process and track expenses reports in a timely and accurate manner
  • Act as a liaison between executives and internal/external stakeholders
Office of the CEO Operations
  • Partner closely with the Chief of Staff to support communication flow and organizational priorities
  • Assist in aligning executive activities with broader company initiatives
  • Help “connect the dots” across teams, ensuring follow-through on key action items
Projects & Strategic Initiatives
  • Support and contribute to special projects and strategic initiatives led by executive leadership
  • Conduct research, prepare materials, and assist with execution of high-impact projects
  • Balance ownership of both day-to-day responsibilities and longer-term initiatives
Events & Meetings
  • Plan and coordinate executive-level meetings, including board meetings and leadership offsites
  • Manage logistics such as venue coordination, materials preparation, catering, and technology setup
  • Support internal events and cross-functional gatherings as needed
Qualifications
  • 3–7+ years of experience supporting senior executives or working in operations, administration, or a related role
  • Experience working in fast-paced, complex organizational environments (larger company experience preferred)
  • Proven ability to manage multiple priorities and operate with a high level of organization and attention to detail
  • Strong communication skills, both written and verbal
  • High level of discretion and professionalism when handling sensitive information
  • Proficiency in standard business tools (e.g., calendar management, expense systems, collaboration platforms)
