Kim IP Law Group is seeking a highly organized, detail-oriented Legal Assistant / Executive Assistant to support the Managing Partner. This is a dual-role position requiring strong administrative, legal support, and coordination skills. The ideal candidate thrives in a fast-paced environment, exercises sound judgment, and can manage both executive-level priorities and legal workflow with discretion and efficiency.
This is a full time in office position at our Voorhees, NJ office.
Key Responsibilities

Executive Assistant Duties:

  • Manage the Managing Partners calendar, scheduling, and meeting coordination
  • Serve as a primary point of contact for internal and external communications
  • Coordinate client meetings and activities
  • Prepare correspondence, reports, and presentations
  • Handle confidential information with professionalism and discretion
  • Assist with inbox management and follow-ups on key action items
Legal Assistant:

  • Assist with preparation, filing, and management of legal documents (primarily IP-related matters)
  • Maintain case files, docketing deadlines, and document organization
  • Support patent/trademark prosecution processes and practice
  • Coordinate with clients, USPTO, and foreign associates
  • Assist with billing support, time entry, and matter tracking
Qualifications

  • 2+ years of experience as a legal assistant, executive assistant, or similar role
  • Prior experience in an intellectual property law firm strongly preferred
  • Paralegal experience or certificate is a plus
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High level of professionalism and discretion
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint); familiarity with legal software/docketing systems is a plus
  • Proficiency/aptitude with computer software tools is a must.
  • Ability to multitask, prioritize, and adapt in a dynamic work environment
