Partner Executive Assistant (Healthcare Industry)

Industry: Healthcare – Psychiatry / Mental Health Services

Work Schedule: Full-time, 9:00 AM – 6:00 PM Eastern Standard Time (EST)

Role Overview: The Practice Operations Manager / Executive Assistant will function as a Practice Manager / Chief-of-Staff–level partner to the practice owner. This role is responsible for overseeing daily administrative operations, supervising virtual healthcare assistants, and supporting nurse practitioners to ensure efficient, compliant, and scalable practice operations.

This is a senior-level position requiring independence, strong leadership, and experience managing people and complex workflows in a healthcare or professional services environment.

Key Responsibilities:

  • Practice & Operations Management
  • Oversee daily administrative operations of the psychiatry practice
  • Ensure workflows, staffing, and internal processes run smoothly
  • Support the practice owner with executive-level administrative and operational tasks
  • Team Leadership & Supervision
  • Supervise and manage two Virtual Healthcare Assistants (current and upcoming)
  • Provide guidance, feedback, and performance oversight to virtual staff
  • Coordinate staffing needs as the practice expands
  • Clinical & Provider Support
  • Provide administrative support to nurse practitioners
  • Coordinate schedules, documentation, and operational needs for providers
  • Act as a central point of coordination between leadership, clinicians, and support staff

Required Skills & Qualifications:

  • Senior-level experience as a Practice Manager, Operations Manager, Executive Assistant, or Chief-of-Staff–type role
  • Background in healthcare, mental health, or clinical operations strongly preferred
  • Proven experience managing and supervising remote staff
  • Strong organizational, leadership, and decision-making skills
  • Ability to operate independently in a fast-growing environment

Communication Requirements:

  • Reading & Comprehension: Advanced Must review SOPs, healthcare documentation, and operational workflows
  • Written English: Advanced and professional Drafting internal communications, documentation, and coordination materials
  • Spoken English: Strong; neutral to minimal accent preferred Leadership-level coordination with U.S.-based clinicians and staff

Tools & Systems:

  • Internal healthcare and administrative systems (details provided via SOPs)
  • Email and document management tools
  • Wing Workspace (task tracking, communication, documentation)

Technical Requirements:

  • USB Headset with Noise Cancellation feature
  • Working Webcam
  • Computer with at least 1.8 GHz processor and at least 4GB RAM
  • Main Internet Service Speed: at least 25 Mbps cable connection
  • Backup Internet Service Speed: at least 10 Mbps
