Executive Assistant to Senior Leadership

As an Executive Assistant to Senior Leadership, you will provide direct support to the Senior Leadership Team at CHN. The Executive Assistant to Sr. Leadership will provide executive level support to the Chief Operating Officer (COO) and Chief Real Estate Development Officer (CREDO) of Community Housing Network (CHN) to ensure smooth and efficient functioning of these departments.

What you will do in the role:

  • Calendaring & Meetings- Managing the Chief Officers' calendars, scheduling meetings, preparing agendas, taking notes, and completing follow-up tasks to ensure efficient meeting coordination and the completion of action items.
  • Correspondence & Document Preparation- Corresponding and communicating with vendors, staff, stakeholders, partners, and residents via phone and email in a respectful, professional, and timely manner; creating presentations, including update report slide decks and other meeting materials with guidance from Chief Officers' teams; printing, editing, or maintaining documents; and providing drafting, proofreading, and version-editing support for documents and correspondence as requested.
  • Administrative & Project Execution- Preparing and submitting reimbursements, time sheets, receipts, and other financial paperwork for Chief Officers; scanning, saving, and organizing confidential employee documents, both electronically and in paper files, for GC; and maintaining confidentiality of all information.
Qualifications

What you will bring to the role:

  • A strong Customer Focus and professional presence
  • Associate degree
  • 3 years' experience in the administrative and executive assistant function
  • Use of personal vehicle as needed to complete routine tasks (must hold personal vehicle insurance and valid driver's license)
  • Proficiency in Microsoft Office Products
  • Familiar with standard office equipment such as computers, multi-line phones, photocopiers and fax machines.
  • Must act with discretion and confidentiality in carrying out duties.
  • Exceptional interpersonal skills and able to positively collaborate with others
  • Proactive and intelligent communicator comfortable with executive interaction
  • Anticipatory problem solver with a contributor mindset
  • Able to manage multiple priorities and complete work with speed and accuracy
