Executive Assistant

A prestigious law firm is seeking a highly skilled Executive Assistant to provide full administrative and billing support to the Managing Partner, assigned attorneys, and key management personnel. This is a great opportunity for a proactive professional who thrives in a fast-paced legal environment and enjoys supporting senior leadership.

What You'll Do:

  • Manage attorneys' calendars, emails, and communications, including handling sensitive and urgent matters.
  • Oversee billing for assigned Partners, from prebill review to sending invoices and ensuring compliance with firm/client deadlines.
  • Draft complex correspondence and documents, anticipate attorney needs, and follow through on delegated projects.
  • Assist with administrative, clerical, and marketing tasks, including client seminars and events.
  • Support attorneys in managing priorities, rescheduling commitments, and ensuring workflow efficiency.
  • Provide coverage to other attorneys/secretaries as needed and assist in training junior staff.

What You'll Bring:

  • 8+ years of senior legal secretary experience in a law firm.

  • Exceptional organizational skills, attention to detail, and the ability to multitask in a high-pressure environment.

  • Proficiency in Microsoft 365, Outlook, Excel, Word, PowerPoint, Intapp Open, Chrome River, and billing systems (Time, Aderant, or Elite).

  • Strong judgment, professionalism, and ability to handle confidential information.

  • Excellent communication, interpersonal skills, and ability to anticipate needs.

  • Typing speed of 55+ WPM and experience formatting complex legal documents.
