Job description

This is a hybrid position which requires 8 days per month in the office. This position will be based in WRI's Washington DC, Mexico, or Colombia offices. Existing work authorization is required at the time of application submission. WRI is unable to sponsor any visa work sponsorship for this position.

About the Program:

The Executive Office is formed of the President and CEO, four Managing Directors, the Chief Administrative Officer, and the General Counsel and key staff. These individuals work with leaders in government, business, and the nonprofit community to forge alliances that further the Institute's work. They also collaborate with media to spread WRI's messages. Additionally, they work internally with staff across the WRI network on the development and resourcing of programmatic work.

Job Highlight:

You will report to the Global Coordination Manager. You will also indirectly report to the Managing Director for Strategy, Learning & Results. You will help support the effective execution of the Managing Director's responsibilities and priorities. You will help meet the demands of a high-volume global organization with a set of programmatic initiatives.

We ask that you have outstanding organization, communication, and interpersonal skills necessary to perform. You must be responsive, proactive, self-motivated, and detail-oriented - demonstrating strong problem-solving and time management skills, with a high degree of flexibility. You are comfortable handling a high influx of information, prioritizing, managing up, and collaborating across multiple teams.

You will engage daily with WRI's global body of staff and high-level officials across the world giving insight into WRI's portfolio of work. Working with a team of Executive Office staff and WRI's senior leadership situated at the heart of an internationally renowned environmental organization.

What will you do:

Administrative Support (100% time):

  • Plan, coordinate, and schedule the Managing Director's business calendar and across multiple time zones. Update the Managing Director to cover urgent incoming requests
  • Support the preparation, checking, and editing of correspondence and documents. This includes the creation of slide decks and presentation materials that are targeted to senior leadership and external audiences.
  • Organize and prepare for business travel, including bookings, pre-travel paperwork and other requirements (e.g., medical testing or vaccinations), creating detailed itineraries, and processing expense claims.
  • Maintain an electronic filing system, including recording of official correspondence, maintaining a business contacts database, and task tracking.
  • Manage a fast-flowing email inbox, bringing urgent issues and those requiring action to their attention
  • Support in preparation and monitoring of budgets.
  • Advise the Managing Director when relevant.
  • Help with special projects such as quarterly strategic reviews and other elements of the strategy cycle. This will include data gathering, record keeping, convening team members, and preparing communications.

What will you need:

  • Experience: 3+ years full-time relevant work experience in an administrative or executive assistant role, including scheduling, travel management and inbox management
  • Advanced proficiency working with Microsoft Office (Word, Excel, Access, PowerPoint). Proficiency or interest in using AI as a productivity tool.
  • Competencies: You should:
    • Manage simultaneous tasks
    • Navigate complex networks and think structurally.
    • Execute independent judgement and follow through on work to ensure completion.
    • Have an interest in strategic development processes.
    • Maintain diplomacy, confidentiality, and cultural sensitivity when working with leadership and external stakeholders.
  • Languages: You will operate in English. Fluency in any of WRI's other languages is a bonus (Mandarin, Bahasa, Hindi, French, Spanish, Portuguese)
  • Requirements: Existing work authorization is required where this position is based

Potential Salary: Salary range is between $69,600-82,000. If located in another country office, salary will be determined by local market conditions.

Salary is commensurate with experience and other compensable factors.
