Executive Assistant to the OwnerPosition Summary

Integrity Heating & Air is seeking a highly organized, proactive, and trustworthy Executive Assistant to the Owner to provide high-level administrative and operational support to the company owner.

This position will serve as a key partner to the owner, helping manage priorities, communication, scheduling, projects, and follow-up across the organization. The ideal candidate is someone who can anticipate needs, keep details organized, follow through on commitments, and help ensure important tasks and initiatives do not fall through the cracks.

This is a highly trusted position that requires discretion, professionalism, strong judgment, initiative, and the ability to handle confidential information.

The Executive Assistant will work closely with the owner and interact with leadership, employees, customers, vendors, and other business partners.

Key ResponsibilitiesExecutive Support
  • Manage and maintain the owner's calendar, appointments, meetings, and commitments.

  • Coordinate meetings and ensure the owner is prepared with necessary information and materials.

  • Manage email and other correspondence as needed.

  • Screen, prioritize, and follow up on communications requiring the owner's attention.

  • Prepare meeting agendas, notes, reports, presentations, and other documents.

Qualifications
  • 3+ years of experience as an Executive Assistant, Administrative Manager, Office Manager, Operations Coordinator, or similar role preferred.

  • Experience supporting an owner, executive, or senior leader preferred.

  • Experience in HVAC, construction, home services, or another service-based business is a plus.

  • Strong organizational and time-management skills.

  • Excellent verbal and written communication skills.

  • Strong attention to detail and follow-through.

  • Ability to manage multiple priorities and deadlines.

  • Strong judgment and problem-solving skills.

  • Ability to work independently and proactively.

  • Proficiency with Microsoft Office, Google Workspace, and web-based business software.  Experience in Canva or similar tools is a plus.

  • Ability to quickly learn new technology and company systems.
