Job description

GBC is hiring an Executive Assistantย toย serve as a trusted operational partner to a highly engaged CEOย and provide secondary support to the COO.ย The ideal candidate is comfortable operating in a fast-paced environment,ย remainsย adaptable as priorities shift, andย exercisesย sound judgement, professionalism, and discretion in supporting executive leadership.ย ย 

This role requires a highly organized professional who canย anticipateย needs, manage complex scheduling andย logistics, and ensure executive prioritiesย remainย on track. The ability to createย structureย in a dynamic environment, manage competing priorities with accuracy and attention to detail, and build effective relationships across a variety of stakeholders will be critical to success.ย Strong communicationย skills, discretion, professionalism, confidence, and tact are essential.ย 

KEY RESPONSIBILITIESย 

Calendar & Meeting Managementย 

  • Manage the CEO's complex, fast-moving calendar -ย anticipatingย conflicts, protecting strategic time, communicating with participants and internal stakeholders, and proactively flagging issues.ย 
  • Prepare the CEO for every engagement: briefing documents, background research, and context - delivered ahead of time, formatted for quick consumption.ย 
  • Prioritize competingย schedulingย requestsย and escalate sensitive decisions asย appropriate.ย 
  • Coordinate pre- and post-meeting activities, working with other staff for room setup,ย food, transportation, andย follow-up.ย 
  • Serve as aย primary point of coordination for CEO scheduling and communications whileย maintainingย professional relationships with internal and external stakeholders.ย ย 
  • Assist the COO with scheduling and execution of key external and internal meetings.ย 

Priority & Task Managementย 

  • Liaise with staff, board members, and external partners on behalf of the CEO and COO - ensuringย timelyย follow-up and alignment with organizational priorities.ย 
  • Trackย key action items, deadlines, and follow-up requests for the CEO and COO, ensuring commitments are documentedย and completed on time.ย ย 
  • Coordinate travel end-to-endย for CEO and COO: flights, ground transportation, accommodations, and itineraries.ย 
  • Complete andย submitย credit card reconciliations for the CEO and COO.ย 
  • Other duties as assigned, including handling general administrative tasksย for the CEO and COOย (i.e., phone inquiries, support internal operations and support preparations for events) and coordinatingย speaking engagements and external event participation.ย 

ย Administrative Support & Communicationsย 

  • Draft, edit, and send CEO correspondence with accuracy andย appropriate organizationalย voice.ย 
  • Leverage technology tools and supportย qualityย data capture in GBC's core systems, (i.e., Salesforce, SharePoint, Monday.com)ย 
  • Coordinateย with internal teams to gather information and materials needed for meetings, projects, and communications.ย ย 

Requirements

  • 3-5+ years of Executiveย Assistantย experience supporting C-suite executives, ideally in a fast-paced civic, nonprofit, or mission-driven environment.ย 
  • High levelย of discretion and professionalism: board matters, personnel decisions, and organizational strategy are kept strictly confidential.ย 
  • Strong organizational and time-management skillsย 
  • Ability to interact with and represent GBC with CEO-level executives and their assistants with a service mindset,ย professionalismย and discretionย 
  • Excellent verbal communication skills.ย Strong writing and editing skills, with meticulous attention to detail.ย 
  • Strong interpersonal and communication skills, including the ability to build relationships across a variety of stakeholders and navigate competing requests with professionalism and tact.ย 
  • High levelย ofย proficiencyย in MS Office Suite.ย ย Experience withย Salesforce,ย Monday.comย and other relevant softwareย preferredย 
  • Experience working inย aย dynamic andย fast-pacedย environment.ย 

Benefits

COMPENSATIONย 

The salary range for this position is $70,000-80,000 commensurateย withย qualificationsย andย experience, with potential for an annual bonus based on performance.ย
