About the Role

Talon Air is seeking a highly organized, proactive, and service-oriented Executive & Personal Assistant to provide comprehensive support to our CEO and COO. This is a unique opportunity to become a trusted partner to two executives in the private aviation industry, balancing high-level business responsibilities with personal executive support.

The ideal candidate is resourceful, adaptable, exceptionally detail-oriented, and thrives in a fast-paced environment where priorities shift frequently. Success in this role requires sound judgment, discretion, strong communication skills, and a willingness to do whatever it takes to keep the executives organized and operating efficiently.

This is an on-site position with availability outside of standard business hours to support executive priorities.

What You'll Do

Executive Support

  • Manage complex, ever-changing calendars for the CEO and COO, coordinating meetings across multiple time zones.
  • Coordinate extensive domestic and international travel, including private aviation, commercial flights, hotels, ground transportation, itineraries, dining reservations, and last-minute changes.
  • Draft, proofread, and manage executive correspondence, presentations, reports, and confidential documents.
  • Prepare meeting materials, track action items, and assist with special projects.
  • Prioritize competing requests while anticipating executive needs before they arise.
  • Serve as a trusted liaison between executives, employees, clients, vendors, and business partners.
  • Build relationships with vendors and service providers to ensure exceptional service.

Personal Executive Support

  • Manage personal calendars, appointments, and scheduling.
  • Coordinate household operations, including vendors, maintenance, landscaping, pool services, pest control, and invoice management.
  • Coordinate automotive needs, including dealership appointments, maintenance, detailing, and transportation.
  • Manage personal and corporate gifting for clients, employees, family members, and special occasions.
  • Handle a variety of confidential personal matters with professionalism and discretion.

What We're Looking For

  • 3+ years supporting C-level executives in an Executive Assistant or Personal Assistant capacity.
  • Exceptional organizational and project management skills.
  • Outstanding written and verbal communication abilities.
