We are looking for a highly capable and well-organized Executive Assistant to support the Chief Financial Officer at Mesabi Metallics' Nashwauk location. This is a strategic role that ensures smooth daily operations for the CFO's office for calendar management, stakeholder coordination, and documentation — across both internal teams and external partners. Beyond traditional executive assistant duties, this role requires comfort working with project workflows, technical data, and reporting documentation. It's ideal for someone with experience supporting senior leadership in a project-driven, industrial environment, who is confident engaging with cross-functional and technical teams.

Reporting to the Chief Financial Officer will be responsible for the following:

1. Executive Support

• Manage the CFO's daily calendar, appointments, and travel logistics (domestic and international, where applicable).
• Proactively identify scheduling conflicts and optimize meeting slots based on priorities.
• Prepare meeting agendas, take minutes, and track action items for follow-up.
• Anticipate the CFO's needs ahead of meetings — briefing notes, relevant documents, or background context.
• Manage expense reports, reimbursements, and related administrative filings for the CFO.

• Act as the main point of contact between the CFO and internal departments (engineering, procurement, finance, site operations) and external stakeholders (vendors, contractors, auditors, legal counsel).
• Follow up on pending decisions, documentation, and updates across teams to ensure timelines are met.
• Draft and format official communications, reports, presentations, and correspondence on behalf of the CFO.
• Screen and prioritize incoming requests, calls, and emails, escalating time-sensitive matters appropriately.

• Maintain a structured system for document control and access (emails, meeting notes, contracts, schedules, approvals).
• Ensure timely submission of reports, dashboards, and updates required for leadership and board-level reviews.
• Support tracking of budget approvals, invoice signoffs, and procurement documentation requiring CFO review.
• Coordinate with Finance team on recurring reporting cycles (monthly closes, forecasts, audit requests) to ensure CFO inputs are captured on time.

• Handle sensitive financial, legal, and personnel information with strict discretion and professionalism.
• Exercise sound judgment in prioritizing the CFO's time, filtering requests, and representing the CFO's intent accurately to others.
• Maintain organized digital and physical filing systems in compliance with internal document retention policies.
• Support special projects and ad hoc initiatives assigned by the CFO (e.g., preparing for board meetings, investor visits, or site reviews).
• Undertake any other ad hoc responsibilities or special assignments as directed by the CFO, based on evolving business or project priorities.

• Bachelor's degree in business administration, Finance, or related field preferred.
• 5+ years of experience supporting C-suite or senior leadership, ideally in finance, industrial, or manufacturing environments.
• Excellent written and verbal communication skills; ability to independently draft polished, error-free correspondence and reports for executive review.
• High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with QuickBooks, SAP, or similar ERP/accounting systems is a plus.
• Ability to multitask, prioritize, and work under pressure in a dynamic project environment.
• Strong organizational and time management skills; able to manage multiple tasks with changing priorities.

• $70,000 - $80,000 annually, depending on experience and qualifications.
