Job description

Our client, a lifestyle boutique hotel in Louisville, Kentucky is seeking an experienced and service-focused Event Manager / Convention Services Manager to oversee the planning, coordination, and execution of meetings, conventions, and special events.
This role serves as the primary liaison between clients and hotel operations once an event is booked, ensuring seamless communication and flawless execution. The ideal candidate is highly organized, hospitality-driven, and capable
Client & Event Management
  • Serve as the primary point of contact for clients after the sales process is complete.
  • Plan and coordinate all aspects of meetings, conventions, and special events.
  • Conduct pre-convention meetings to review event details, timelines, and service expectations.
  • Create and distribute detailed Banquet Event Orders (BEOs) for internal departments.
  • Maintain consistent communication with clients to ensure event expectations are met or exceeded.

Event Execution
  • Oversee on-site event execution including meetings, conferences, weddings, and social events.
  • Coordinate with banquet, culinary, audiovisual, housekeeping, and front office teams.
  • Monitor room setups, event flow, and service delivery during programs.
  • Address client requests and resolve issues promptly to ensure guest satisfaction.

Operational Coordination
  • Work closely with the Sales, Banquets, Culinary, and Operations teams to ensure seamless event delivery.
  • Conduct site inspections and event walkthroughs with clients.
  • Ensure accurate documentation and communication of all event requirements.
  • Supervise event setups and breakdowns to ensure adherence to hotel standards.

Financial & Administrative Oversight
  • Assist with reviewing event contracts, budgets, and final billing.
  • Track event revenue and support profitability goals.
  • Ensure accurate invoicing and post-event billing reconciliation.
  • Maintain event documentation within the hotel's event management system.

Qualifications
  • 3-5+ years of experience in hotel event management, convention services, or banquet operations.
  • Experience coordinating corporate meetings, conferences, weddings, or social events.
  • Strong project management and organizational skills.
  • Ability to manage multiple events simultaneously in a fast-paced environment.
