Location: Jersey City, NJ / Hybrid (3 days in office, subject to change at any time), must reside in tri state area to commute to work.

What You Would Get To Do:

The Associate Event Technology Manager supports the delivery and execution of event technology solutions, including registration websites, event platforms, and data management, working closely with clients and internal event delivery teams. The role is responsible for building, configuring, and supporting event technology platforms, managing event databases, and producing accurate reporting using advanced Microsoft Excel skills. This position also provides technology and coordination support for live events and meetings as required, helping to ensure event technology is implemented effectively and contributes to a smooth overall event experience.

Domestic and/or international travel may be required with this role.

Your Contributions

  • Lead the end-to-end implementation and project management of event registration websites, mobile apps, and related event technology platforms for assigned events, from initial setup through live execution and post-event closeout.
  • Act as a primary point of contact for clients on event technology matters, maintaining direct communication and confidently representing the agency's technical expertise. Provide informed recommendations on platform selection, attendee experience design, and implementation approaches based on event objectives.
  • Configure, test, and execute event technology systems, balancing multiple concurrent projects while managing timelines, dependencies, and deliverables across internal teams, vendors, and clients.
  • Proactively troubleshoot and resolve technical issues, both remotely and onsite, exercising sound judgment to address challenges without the need for constant senior escalation.
  • During live events, serve as the lead onsite Event Technology representative when assigned, overseeing registration desk operations, system performance, and onsite troubleshooting, and directing supporting team members as required to ensure seamless delivery.
  • Manage all technology-related client communications, including save-the-dates, invitations, registration process, confirmations, post-event surveys, and system-driven attendee communications.
  • Oversee database and list management, ensuring accuracy, consistency, compliance, and effective segmentation. Produce registration reports, year-on-year comparisons, attendance insights, and event analytics to support decision-making.
  • Coordinate the production and execution of technology-enabled event materials such as name badges, tent cards, place cards, signage, agendas, confirmations, and departure notices, where applicable.
  • Partner closely with Event Delivery, Production, and Content teams to ensure event technology is fully integrated into overall programme logistics and onsite operations.
  • Contribute to budget development support by gathering and validating technology-related costs, liaising with vendors, identifying cost efficiencies or value-add opportunities, and supporting post-event reconciliation and follow-up. While not a direct budget owner, inputs materially inform budget and resourcing decisions.
  • Design and support registration desk flow and onsite setup, ensuring efficient attendee check-in experiences and operational readiness.
  • Create and distribute post event client surveys
  • Maintain comprehensive event documentation, files, and records in line with standard operating procedures, compliance requirements, and audit standards, ensuring continuity across teams and projects.
  • Actively contribute to the continuous improvement of the Event Technology function by sharing learnings, communicating platform or vendor updates, and recommending process improvements or best practices that enhance consistency and quality across the team.
  • Accurately track and record time spent on projects to ensure transparency, resource planning, and commercial accuracy.

What We Are Looking For

  • Bachelor's Degree preferred
  • 2-4+ years of experience in Attendee Data Management and Event Technology, including entry level meeting planning and coordination with registration and event technology
  • Advanced proficiency in Microsoft Office, with a strong emphasis on Excel (including functions such as VLOOKUP) and working knowledge of PowerPoint.
  • Proficiency with event registration platforms such as Cvent, Splash, Certain, Aventri, Eventbrite, or similar systems.
  • Experience with virtual meeting and event platforms including Zoom, WebEx, Intrado, GlobalMeet/TalkPoint, SpotMe, Concise Chime, or comparable technologies.
  • Working knowledge of integrating customer relationship management tools (e.g., Marketo, Salesforce, DealCloud) with event registration and management platforms.
  • General knowledge of HTML and CSS is a plus; additional programming or scripting experience is advantageous but not required.
  • Strong project management skills, with the ability to manage multiple projects and competing priorities simultaneously.
  • Clear, professional written and verbal communication skills, with the ability to engage effectively with clients, vendors, and internal teams.
  • Client-focused, adaptable, and approachable, with the ability to adjust communication style to meet varying client needs and working environments.
  • Motivated self-starter with the ability to follow direction, work independently, and apply innovative thinking when solving problems.
  • Awareness of industry suppliers, emerging technologies, and best practices within event technology.
  • Flexible and willing to work outside standard business hours, including evenings and weekends, and to travel or provide remote support for live events as required.

United States Residents: The base pay for this position ranges from $60,000 to $82,000. This role is also eligible for an annual discretionary bonus.

Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
