Job description

Job Overview
The Clerical Assistant position supports the Community Schools mobile health clinic initiative and the Vaccines for Children (VFC) initiative. The mobile health clinic functions to bring health care and immunizations to students enrolled in LCPS Title 1 schools and schools with the Community Schools designation. The Clerical Assistant (CA) is responsible for coordinating mobile health clinic projects and activities and assuming additional office responsibilities and duties as assigned. The CA will collaborate with interdepartmental personnel and community partners supporting the mobile health clinic initiative. The CA must be able to complete assignments independently, work collaboratively with others, and demonstrate strong written and oral communication skills.
Roles and Responsibilities
The following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.
  • Provides administrative and clerical support to the mobile health clinic program and the VFC program
  • Creates and manages the schedule for the mobile health clinic and immunization events in collaboration with the Community Schools Nurse Practitioners, School Administrators, and community partners
  • Manage supply inventory: Orders medical and office supplies for mobile clinic
  • Creates, updates and manages spreadsheets, word documents, databases, and other electronic files required for the efficient operation of the mobile health clinic and community schools initiative
  • Works closely with the Community Schools Nurse Practitioners and the Supervisor of Student Health Services to complete administrative and clerical tasks as assigned
  • Assists with development of marketing materials for the mobile health clinic, and VFC initiative
  • Schedules staff and volunteers to support each clinic event
  • Assists with updating the community schools section of the LCPS website and intranet site
  • Coordinates resources to provide translation services/interpreters where needed

  • Bilingual in Spanish and English strongly preferred

  • Strong oral and written communication skills, strong interpersonal skills; ability to work effectively with many different audiences including but not limited to parents, school-based employees and central office administration
  • Ability to maintain confidentiality, discretion, and sensitivity to diverse cultures and family structures
  • Experienced and competent in the use of Microsoft Word and Excel Programs
  • Experience in producing accurate reports quickly using a variety of formats, accessing data from numerous sources, knowledge of Microsoft Office Suite, specifically Excel and Word; file creation and maintenance and ability to maintain databases on other systems through data entering, editing and updating procedures
