Escrow Assistant Summary: 

The Escrow Assistant is responsible for providing administrative support to the Escrow Department by preparing documents, managing client communications, and handling file logistics.


The Escrow Assistant is responsible for working cross-functionally to assist with order entry, pre-processing, scheduling appointments, and reviewing title insurance policy documents before they're released to the client. 


The ideal candidate possesses excellent communication skills, organizational skills, strong time management, and attention to detail. You must be a team player with a strong desire to provide a “best-in-class” customer service experience.


Escrow Assistant Responsibilities: 

  • Accurately receive incoming title insurance orders and review property information (legal descriptions, addresses, buyers/seller details, etc.) for completeness and accuracy.
  • Promptly and accurately enter order data into our title and escrow production software.
  • Demonstrate strong professionalism and communication by contacting clients to retrieve missing data, resolve order discrepancies, or request additional documentation.
  • Monitor file statuses and work cross-functionally with Title and Escrow departments to ensure timely processing.
  • Serve as the first point of contact for clients, agents, and lenders via phone, email, and in-person interactions.
  • Provide exceptional customer service to our clients and internal staff members.
  • Assist with sending and receiving mail on behalf of the office staff.
  • Prepare escrow instructions, organize closing packages, and assist with pre-processing tasks.
  • Complete all other administrative duties as assigned by Supervisor(s).

Required Qualifications and Skills: 

  • High school diploma or equivalent required; Associate's degree or higher preferred. 
  • 1+ years of Title Insurance industry experience required; 2-3+ years preferred.
  • Experience working with Resware, Qualia, or other industry software preferred. 
  • Ability to navigate multiple internal systems and demonstrate strong computer skills is required.
  • Ability to serve as a role model by maintaining high-quality customer service standards.
