Job description

Summary:

The Document Control Coordinator is responsible for issuing, collecting, organizing, digitizing, and archiving quality and manufacturing records in accordance with Variperm’s quality management system requirements.

This position ensures quality documentation packages are complete, accurate, accessible, and retained in accordance with internal procedures and customer requirements. The role supports manufacturing operations through effective document control practices and assists the Quality department with additional quality-related activities as required.

The ideal candidate is highly organized, detail-oriented, self-directed, and capable of managing multiple priorities while maintaining accuracy and confidentiality.

Job Duties/Responsibilities:

  • Maintain and assist in the continued development and implementation of SharePoint based document management processes.
  • Ensure controlled documents are current, accessible to authorized personnel, and maintained in accordance with document control procedures.
  • Print, organize, and issue required quality and manufacturing form packages for use on the shop floor.
  • Collect quality and manufacturing records from production, inspection, and supporting departments.
  • Scan physical documentation and upload records into designated electronic filing systems and digital folders.
  • Support manufacturing and quality teams with final release, tracking and following up on missing, incomplete, or incorrect records with applicable departments.
  • Organize and maintain quality record packages for internal use, customer requirements, and audit readiness.
  • Support retrieval of historical records and documentation requests.
  • Interface with multiple production shifts and departments to communicate document requirements and resolve issues.
  • Support additional activities and projects as required.
  • Participate in training and safety meetings as required.

Skills/Knowledge

  • Highly motivated and self-directed, capable of multi-tasking, accountable, and able to work with minimal supervision.
  • Strong attention to detail and excellent data entry abilities.
  • Takes initiative and thrives in cross‑functional collaborative environments.
  • Demonstrated ability to prioritize tasks and manage time effectively to meet deadlines.
  • Experience supporting workflow processes, including document reviews, electronic filing, organization, and distribution.
  • Proficient in Microsoft Office (Word, PowerPoint, Outlook); intermediate Excel skills including functions and formulas.
  • Dedicated to continuous improvement.
  • Prior experience with SharePoint, ERP platforms, and controlled document management processes considered an asset.
  • Knowledge of quality management systems and controlled documentation processes is considered an asset.
  • Experience working within a manufacturing environment considered an asset.

Education

  • High school diploma required; post-secondary education in administration, quality, business, or related field considered an asset.

Experience

  • Minimum 2 years of experience in document control, administration, quality, manufacturing, or records management preferred.
