Job description

JOB SUMMARY
The Distribution Coordinator is responsible for coordinating the daily transportation of materials, equipment, and tools throughout the Charlotte market. This position serves as the central point of communication between project teams, drivers, warehouse personnel, and logistics leadership to ensure deliveries are completed safely, efficiently, and on schedule. In addition to dispatching and scheduling responsibilities, this role coordinates fleet maintenance activities, transportation documentation, and supports continuous improvement of logistics operations.
JOB RESPONSIBILITIES
Distribution Planning & Dispatch
• Own the daily delivery schedule for Charlotte operations.
• Schedule and dispatch company drivers to meet project needs.
• Review upcoming project schedules and proactively coordinate deliveries.
• Adjust schedules throughout the day to accommodate changing priorities, emergencies, and customer requests.
• Balance workloads across drivers, trucks, and trailers to maximize efficiency.
• Coordinate outsourced freight when required.
Driver & Project Coordination
• Serve as the primary point of contact between project teams, foremen, warehouse personnel, and drivers.
• Communicate delivery schedules, delays, and changes to stakeholders.
• Resolve scheduling conflicts and delivery issues while maintaining a high level of customer service.
• Provide drivers with the information and documentation necessary for successful deliveries.
Load Planning & Transportation Safety
• Coordinate loading activities to ensure trucks and trailers are prepared for scheduled deliveries.
• Verify loads are properly secured and comply with company and DOT safety requirements.
• Ensure appropriate vehicles and trailers are assigned based on load requirements.
• Promote safe transportation practices and operational compliance.
Fleet Maintenance & Equipment Coordination
• Coordinate preventative maintenance and repairs for trucks, trailers, and related equipment.
• Schedule equipment inspections and maintain maintenance records.
• Coordinate repairs with outside vendors and remove equipment from service as necessary.
• Assist with trailer inspections, DOT compliance activities, and GPS/communication equipment maintenance.
Reporting & Administrative Support
• Prepare purchase orders related to fleet maintenance and outsourced freight.
• Maintain repair, maintenance, and compliance documentation using company software.
• Track maintenance costs and identify trends or opportunities for improvement.
• Support the Logistics Operations Lead with operational reporting and other administrative duties.
• Perform other duties as assigned.
BASIC QUALIFICATIONS
Education and Experience
• High school diploma or GED.
• 2+ years' experience with Basic proficiency with
Microsoft Office and Windows-based
applications.
• 1+ year of Smartsheet, Forecasting logistics
fleet, or equivalent software.
Knowledge, Skills, and Abilities
• Ability to organize multiple priorities in a fast-paced environment.
• Strong written and verbal communication skills.
• Excellent organizational and time management skills.
• Strong customer service mindset and professional communication.
• Ability to make sound decisions in a rapidly changing environment.
• Self-starter capable of working independently and collaboratively.
• High attention to detail and commitment to safety.
• Ability to learn new software and improve operational processes.
PREFERRED REQUIREMENTS
• GoCodes - track trailers and contents.
• Experience in dispatching, logistics, trucking, or material handling.
• Experience coordinating delivery schedules or transportation operations.
• Knowledge of DOT regulations and fleet maintenance practices.
• Forklift certification or ability to obtain certification.
• Some college coursework or degree.
WORKING CONDITIONS AND PHYSICAL EFFORTS
• Moderate exposure to weather, dust, noise, and construction environments.
• Occasional travel to job sites, vendors, and customer locations.
• Light physical effort including standing, walking, and lifting up to 50 pounds.
• Requires adherence to company safety policies and DOT-related practices.
