Title
Customer Relations Specialist
Position Description
University Events (UE) follows university priorities to plan, support, and execute meetings, events, and programs on campus. A one-stop shop operation, University Events coordinates the efforts of support areas on behalf of event sponsors. University Events provides a high level of customer service to event sponsors while managing limited space and other resources in service of the University mission.
Customer Relations Specialists serve as a representative of the university and a paraprofessional as an extension of the UE staff. As the first contact to the office, Customer Relations Specialists receive all guests and calls to the department, assist in routine duties common to office operation and work on other projects as assigned.
Duties include:1. Office communication
  • Serving as the first point of contact for all on-campus and external sponsors
  • Answering the main office phone line, communicating effectively with all callers, guests, and staff by using proper language
  • Triaging all inquiries effectively
  • Acting as the liaison between the inquirer and appropriate staff member, relaying accurate information and forwarding messages as appropriate
  • Ensuring urgent matters are directed to appropriate staff promptly and accurately

2. Assisting staff with general clerical duties including, but not limited to, typing, copying, and scanning.
3. Ability to learn and effectively troubleshoot issues with Virtual EMS, our web-based reservation system, and EMS, our event management database.
4. Delivering and receiving time-sensitive documents and items around campus.
5. Perform miscellaneous office tasks and special projects as requested.
Preferred Qualifications
  • Candidates must have a positive, professional attitude, willingness to learn, and excellent communication, problem-solving, and interpersonal skills.
  • They must possess the ability to adapt to a diverse work environment, work well under pressure, work autonomously as well as part of a team, and work from written or oral instructions.
  • Previous customer service and/or office experience as well as familiarity with the campus is preferred as is summer availability.

Physical Demands
Typical office clerical and phone work.
