Mail Inserter Operator

Department: Direct Mail / Production
Reports To: Mail Department Manager
FLSA Status: Non-Exempt
Location: Onsite ? Production Facility

Position Summary

The Mail Inserter Operator is responsible for operating and maintaining the FlowMaster high-speed mail inserting machine within the Direct Mail department. This position ensures mail campaigns are produced accurately, efficiently, and in compliance with customer specifications and USPS regulations. The Mail Inserter Operator plays a key role in maintaining workflow, minimizing downtime, and ensuring quality control throughout the inserting process. This role requires strong attention to detail, mechanical aptitude, and the ability to work effectively in a fast-paced production environment.

Key Responsibilities

Machine Operation

  • Set up and operate the FlowMaster inserting machine according to job specifications
  • Review job tickets to verify correct materials, inserts, envelopes, and data files
  • Load materials and ensure proper alignment and sequencing
  • Monitor machine performance and adjust settings as needed
  • Perform routine machine maintenance and cleaning

Production & Workflow

  • Ensure jobs are completed according to daily production schedules
  • Maintain steady throughput while meeting quality standards
  • Communicate job status and potential delays to supervisors
  • Coordinate with upstream departments (print, bindery, data processing) to ensure readiness of materials

Quality Control & Compliance

  • Conduct quality checks throughout production runs
  • Verify proper matching, inserting, sealing, and addressing
  • Ensure compliance with USPS regulations and customer requirements
  • Document production counts, spoilage, and job completion details

Troubleshooting

  • Identify and resolve minor mechanical or material issues
  • Escalate maintenance needs when necessary
  • Minimize downtime through proactive monitoring and adjustments

Qualifications

  • 2+ years of experience in direct mail, inserting, or related production environment
  • Experience operating high-speed mail inserter equipment preferred
  • Strong understanding of mail flow, matching logic, and USPS standards
  • Mechanical aptitude and troubleshooting ability
  • Ability to read and interpret job tickets and production documentation
  • Strong organizational and time management skills
  • Ability to work in a fast-paced manufacturing environment
  • Ability to lift up to 40 lbs and stand for extended periods
