GENERAL SUMMARY

The Development Operations Manager is the operational steward of the Development Department’s systems, data, and gift processing functions.

This role owns the day-to-day integrity of Virtuous CRM, ensures accurate and timely gift entry and acknowledgement, strengthens compliance and reconciliation processes, and supports the systems that allow fundraisers, marketers, and leadership to build meaningful donor relationships.

The Development Operations Manager ensures that every act of generosity entrusted to St. Matthew’s House is received, recorded, protected, and stewarded with excellence.

This role exists to safeguard donor trust, enable relational fundraising, and translate generosity into mission impact by building strong systems, accurate data, and reliable processes behind the scenes.

ESSENTIAL TASKS

Development Operations & Systems Stewardship (˜60%)

  • Serve as the primary administrator and steward of Virtuous CRM and related fundraising systems.
  • Own gift processing workflows and donor acknowledgements
  • Maintain data integrity through audits and continuous improvement
  • Train Development staff on CRM and tools
  • Manage integrations with online giving platforms
  • Supervise development operations staff and volunteers

Finance, Compliance & Accountability (˜20%)

  • Partner with Finance to ensure accurate recording and reconciliation of gifts
  • Support monthly and annual reconciliation
  • Handle returned payments and adjustments carefully
  • Maintain audit-ready documentation

Annual Giving & Direct Marketing Operations (˜20%)

  • Support segmentation, list management, and campaign tracking
  • Maintain campaign structure in Virtuous CRM
  • Support external marketing partners operationally
  • Support monthly giving and new-donor onboarding execution

  • Finance and Development are aligned

Travel: Some travel is required for this role. This role is required to maintain primary auto insurance minimum liability limits of $100,000/$300,000 bodily injury, $100,000 property damage or $300,000 combined single limit. Must be an approved St. Matthew’s House driver.

Requirements:

QUALIFICATIONS

  • Bachelor’s degree or equivalent experience
  • 1–3 years nonprofit development or operations experience
  • Prior management experience preferred
  • Donor database experience; Virtuous preferred
  • Strong Excel and Microsoft tools proficiency
  • Exceptional attention to detail
  • Strong communication and collaboration skills
  • Comfort in a mission-driven, fast-paced environment
