Job description

The Bethlehem Area School District is seeking a detail-oriented and technically skilled Data Coordinator to support all aspects of state-required PIMS (Pennsylvania Information Management System) reporting. The ideal candidate will coordinate data collection, validation, reporting, and compliance efforts across multiple district departments while ensuring the accuracy and integrity of student and staff data.

This position requires strong analytical and organizational skills, accuracy in data management, and the ability to collaborate effectively with administrative staff, school personnel, and external agencies. The successful candidate will demonstrate proficiency in data systems, report writing, and problem-solving while managing multiple deadlines in a fast-paced educational environment. This full-time, on-site position supports district-wide reporting and operational functions for approximately 13,000 students and 1,000 employees. The core work schedule for this position is 40 hours per week, Monday through Friday; however, additional hours may occasionally be required to meet reporting deadlines, support district operations, or address time-sensitive state reporting requirements.

Responsibilities:

  • Coordinate data entry, data maintenance, and data correction in district information systems for State-required PIMS Reporting
  • Generate reports on PIMS data in district information systems and distribute reports for administrative and office staff review
  • Conduct data quality reviews within district information systems and distribute reports to appropriate end users for review and correction
  • Coordinate with various end users including, but not limited to, the Business Office, Child Accounting Department, Curriculum Department, English Learner Services, Facilities and Operations Department, Grants Office, Information Systems Department, Special Education Department, school secretaries, and school administrators in reviewing reports, maintaining PIMS data in district information systems, and meeting reporting deadlines
  • Run and review reports from the PIMS State system and distribute reports for end-user review and action
  • Upload PIMS files downloaded from district information systems to the PIMS State system, address errors resulting from file uploads, and ensure files are loaded by state-identified deadline dates
  • Contact the PIMS Help Desk to log issues and/or questions on behalf of the district related to PIMS
  • Review updated PIMS Manuals and address changes as needed with end users
  • Work with the district's information system vendors in handling changes to PIMS reporting requirements and troubleshooting system issues related to state reporting downloads
  • Attend monthly PDE/PIMS webinars, monthly DQN in-person and virtual meetings, SIS State Reporting calls, Annual PDE Data Summit, Annual Child Accounting Conference, and other conferences conducted by the state and/or information system vendors on PIMS reporting subjects
  • Coordinate with Intermediate Unit 20 and Bethlehem Area Vocational-Technical School on PIMS reporting matters
  • Develop detailed instructions for entering PIMS-related data into the student information system
  • Train end users on how to enter PIMS-related data into the student information system
  • Communicate clearly, concisely, and effectively, both orally and in writing, with administrative staff, professional and support staff, students, parents, and community members
  • Provide backup support as needed to other staff members in their absence
  • Perform other duties as assigned

Qualifications:

  • Four-year degree preferred in Information Systems, Computer Science, or related field; consideration may be given to candidates with a two-year information systems degree and two to three years of work experience related to relational databases and report writing
  • High proficiency in Microsoft Excel and Microsoft Access required
  • SQL and report writing experience preferred
  • Experience working in a K12 educational institution preferred
  • Demonstrated attention to detail and accuracy in work habits

New employee starting salary range: $57,300 - $68,670 depending on experience
