Job description

Seeking a highly organized Project Coordinator with experience managing customer products, packaging, or commercialization projects in a manufacturing or CPG environment. The individual will serve as the central hub between Sales, customers, operations, regulatory, artwork, and product teams to ensure projects launch on time, within scope, and according to customer requirements. Success int this role requires strong project management discipline, exceptional communication skills, urgency and the ability to manage multiple concurrent projects. 

Project Coordination:

· Manage projects from start to finish, ensure that all project deliverables meet the established timelines and requirements are completed accurately and on time.

· Serve as the primary point of contact for internal and external teams to ensure all project actions remain aligned.

· Develop project scopes, policies, procedures, or tracking tools as needed to complete complex projects.

· Create long and short-term project plans, including setting targets for milestones and adhering to deadlines.

· Delegate tasks on projects to employees best positioned to complete them.

· Communicate with management/leadership to keep projects aligned with goals.

· Conduct meetings with customers when needed.

· Provide meeting notes, action items, and follow-up communication after project discussions.

· Address urgent requests from the Sales Manager, Vice President and Division Directors.

· Maintain related portals necessary to support team communication and ongoing project management.

· Maintains communication with customers to ensure adherence to project scope and timelines.

· Review specifications for adherence to capabilities and obtain production alternatives when necessary.

· Confirm all regulatory requirements and processes for projects.

· Serve as a central resource for current and historical project information.

· Follow standard practices/reporting models and continuously seek opportunities for improvement.

· Create project scopes for complex individual projects.

Degree preferred or combination of education and experience 2-5 years 

Administrative Coordination:

· Serve as a communication bridge between Sales and internal departments to ensure customer needs are understood and executed.

· Support sales with customer requests, new item setup, project timelines, product updates, artwork revisions, portal submissions, promotional calendars, documentation platforms and customer facing documentation.

· Ensures customer requests for information (RFI) proposals (RFPs) and questionnaires completed promptly and efficiently.

  • Gather and organize information needed for customer projects, including artwork, packaging, compliance, pricing support, setup documents, promotional calendars, and product specifications.
  • Coordinate product code updates, new code creation, revisions to existing codes, descriptions, units of measure, and project-specific coding needs.
  • Ensure customer requests for information and proposals are completed promptly and efficiently.
  • Collect and maintain accurate product, packaging, artwork and customer setup information for all relevant and historical products within the division.
  • Serve as a communication bridge between Sales and internal departments to ensure customer needs are understood and executed.
