Project Coordinator

About This Role
We are seeking a Project Coordinator to support project managers and installation partners with project documentation, scheduling, communication, reporting, and overall project coordination. This role will help ensure project information remains accurate, deadlines are tracked, and key action items are followed through from project start to closeout.
This role supports the successful execution of fire alarm and life safety projects by assisting with project tracking, documentation, customer updates, contractor coordination, and internal communication. The Project Coordinator will help maintain project visibility, support timely completion of deliverables, and ensure project information is organized and accurate.
Key Responsibilities
  • Support Project Managers with daily project coordination activities
  • Assist with scheduling meetings, tracking action items, and following up on open tasks
  • Prepare and maintain project documentation, reports, trackers, and status updates
  • Coordinate communication between customers, contractors, internal teams, and project stakeholders
  • Help track project milestones, schedules, risks, and deliverables
  • Maintain accurate project information in company systems and reporting tools
  • Assist with material, equipment, and documentation coordination as needed
  • Support project closeout activities, including turnover documentation and required project files
  • Help identify missing information, incomplete tasks, and potential project delays
  • Attend internal and customer project meetings as needed
  • Provide administrative and coordination support to improve project execution and communication

  • Familiarity with Salesforce, Fieldwire, Bluebeam, or similar tools
  • Ability to read and understand basic construction drawings, schedules, or project documentation
  • Project coordination or project management training is a plus
  • Strong computer skills, including Microsoft Office, Outlook, Teams, Word, and Excel
  • Strong communication, organization, and documentation skills
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Ability to follow up on action items and support project deadlines
  • Experience working with internal teams, contractors, or customers
