Job description

The Crowne Plaza Indianapolis Downtown – Union Station is seeking an experienced Convention Services Manager to join our team. This position is responsible for delivering exceptional service while planning and executing weddings, meetings, conferences, and catered events at one of Indianapolis' premier hotels.
Reporting to the Director of Catering, the Convention Services Manager serves as the primary liaison between the hotel and assigned groups from the time business is confirmed through the group's departure. This role is responsible for coordinating every aspect of the group's experience, ensuring seamless execution while exceeding client expectations and maximizing hotel profitability.
The ideal candidate is a highly organized, service-focused professional who thrives in a fast-paced environment, excels at managing multiple priorities, and enjoys building lasting relationships with clients. This position works closely with Sales, Catering, Banquets, Culinary, Front Office, Housekeeping, Engineering, and all operational departments to ensure flawless event execution.
The Convention Services Manager is responsible for managing all event details, including function space, guest room blocks, food and beverage, audiovisual requirements, exhibits, rooming lists, VIP amenities, transportation, and special requests. This individual communicates all event details through accurate Banquet Event Orders (BEOs), Group Resumes, and other event documentation in accordance with IHG and Crowne Plaza brand standards to ensure seamless execution across all hotel departments.
DUTIES AND RESPONSIBILITIES
Duties include, but are not limited to, the following:
• Serve as the primary point of contact for assigned weddings, meetings, conferences, and catered events from turnover through post-event follow-up.
• Build strong client relationships by understanding event objectives and delivering personalized service that exceeds expectations.
• Plan and coordinate all aspects of events, including function space, room setups, staging, audiovisual, décor, entertainment, transportation, room blocks, VIP amenities, exhibits, rooming lists, and food and beverage functions.
• Prepare and maintain accurate Banquet Event Orders (BEOs), Group Resumes, rooming lists, and all related event documentation.
• Lead pre-convention, pre-event, and post-event meetings with clients and hotel teams to ensure successful execution.
• Partner with Sales, Catering, Banquets, Culinary, Front Office, Housekeeping, Engineering, and other hotel departments to ensure seamless communication and event execution.
• Monitor events on-site and respond promptly to client requests while proactively resolving operational challenges.
• Identify opportunities to enhance the client experience through thoughtful recommendations and upselling of catering, audiovisual services, guest room upgrades, and additional hotel offerings.
• Manage function space and guest room inventory to maximize hotel revenue while meeting client expectations.
• Negotiate food and beverage enhancements, function space, and hotel services within established departmental guidelines.
• Conduct hotel site inspections and banquet facility tours as needed.
• Analyze guest satisfaction feedback and implement improvements to continuously enhance the meeting and event experience.
• Maintain a thorough understanding of IHG and Crowne Plaza brand standards and ensure compliance throughout the planning and execution process.
• Promote teamwork by fostering strong working relationships with internal departments, vendors, and business partners.
• Perform other duties as assigned.
