Location: Bolingbrook, IL (Hybrid)
Job Type: Contract (6+ Months, Possible Extension)

Position Overview

We are seeking a highly organized and detail-oriented Marketing Project Coordinator to support the execution of creative and marketing initiatives across multiple channels. This role is responsible for coordinating workflows, managing timelines, and facilitating communication between cross-functional teams to ensure timely and efficient delivery of creative assets. The ideal candidate thrives in a fast-paced environment and demonstrates strong project coordination and communication skills.


Key Responsibilities

Creative Operations & Project Execution

  • Support end-to-end creative project workflows including intake, briefing, scheduling, and delivery tracking
  • Gather project requirements and identify risks, gaps, and timeline concerns
  • Maintain project timelines, status reports, and workflow documentation
  • Ensure projects progress efficiently through all phases of the creative lifecycle
  • Monitor deliverables and assist teams in meeting deadlines

Workflow, Communication & Coordination

  • Coordinate communication between creative teams, stakeholders, and external partners
  • Organize meetings, status updates, project reviews, and team stand-ups
  • Document meeting notes, action items, and follow-ups
  • Escalate risks, delays, and resource constraints when needed
  • Support cross-functional collaboration across teams

Tools, Systems & Reporting

  • Maintain accurate tracking in project management tools such as Workfront and Monday.com
  • Assist with workflow optimization and process improvements
  • Organize and maintain project files, documentation, and templates
  • Generate project status reports and updates

Collaboration & Team Support

  • Partner with creative, design, and production teams to support delivery
  • Collaborate with strategy, sales, and account teams on marketing initiatives
  • Contribute to a collaborative, solution-oriented environment
  • Support operational efficiency and continuous improvement efforts

Qualifications
  • Bachelor's degree in Marketing, Business, Design, Project Management, or related field (preferred)
  • 2-4+ years of experience in project coordination, creative operations, or project management
  • Experience supporting marketing, creative, or agency teams preferred
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects in a fast-paced environment

Technical Skills
  • Proficiency in project management tools (Workfront, Monday.com)
  • Familiarity with collaboration tools such as Figma (preferred)
  • Strong Microsoft Office skills, especially PowerPoint
  • Understanding of digital media channels (social, video, onsite/offsite media) preferred
