Duties/Responsibilities:

  • Process all new contracts, unexecuted contracts, and executed contracts
  • Assist with Contract meetings and required documentation
  • Send reminders and track all contracts
  • Assist with reading through and making edits to contracts via Word and Adobe
  • Maintain fleet data, vehicle paperwork, and vendor platforms (e.g., WEX, Enterprise)
  • Assist with requests and track all insurance certificates
  • Complete prequalification requests
  • Pick up PO box and drop off mail as needed
  • Cross-train with the team for fluid coverage
  • Process and review incoming documents and assist with document formatting
  • Assist with reception duties as needed
  • Submit receipts and coding for the Contract and Compliance Manager Master Card monthly.
  • Maintain master reports, perform scheduled audits, and lead quarterly/annual compliance activities.
  • Other duties may be assigned

Qualifications/Experience:

  • Must be able to prioritize work and communicate effectively at all levels.
  • Basic computer skills and a thorough knowledge of MS Word, MS Excel, MS Outlook, and Adobe are needed.
  • Must be able to use copy machine, postage machine, and UPS Worldwide software
  • Demonstrate competence in written and verbal communication skills
  • Able to positively represent Jet Industries, Inc. and communicate with others at varying technical levels
  • Basic Proficiency in English required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.
