Job description

Contract Administrative Assistant – Policy & Document Management (SharePoint Project)

Position Overview

We are seeking a highly organized and communicative Contract Administrative Assistant to support a focused project involving the review, reformatting, and migration of policies and documents into a SharePoint site. This role is ideal for someone who excels in structured environments, has strong attention to detail, and is experienced with Microsoft tools and office-based processes.


The contractor will play a key role in standardizing documentation, ensuring consistency in formatting, and supporting the successful organization and upload of materials into a centralized SharePoint environment.



Key Responsibilities

  • Review, organize, and reformat existing policies, procedures, and internal documents for consistency and clarity
  • Standardize formatting (fonts, styles, headers, templates) across documents using Microsoft Word and related tools
  • Prepare files for upload and organization within SharePoint, ensuring proper naming conventions and version control
  • Upload and categorize documents within SharePoint libraries, maintaining a clean and intuitive structure
  • Collaborate with stakeholders to clarify document content, identify gaps, and confirm accuracy
  • Track progress of document updates and maintain status reports or logs in Excel
  • Assist with basic SharePoint page updates, metadata tagging, and navigation organization (as needed)
  • Ensure all documents meet internal standards for formatting, branding, and compliance
  • Communicate project updates clearly and proactively to stakeholders
  • Various administrative office duties


Qualifications

  • Proven administrative experience in an office or corporate environment
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook; PowerPoint a plus)
  • Hands-on experience working with SharePoint (document libraries, uploads, organization) – Preferred not required
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage high volumes of documents with accuracy and consistency
  • Experience working on structured projects with timelines and deliverables
  • Ability to work independently and meet deadlines in a contract role


Preferred Qualifications

  • Experience reformatting or standardizing policies, SOPs, or procedural documents
  • Familiarity with SharePoint Online features such as metadata, version control, and permissions
  • Experience using Microsoft Teams or other collaboration tools
  • Prior experience supporting document migration or system implementation project
