ABOUT THE ROLE
The Payroll amp; Administrative Coordinator is responsible for processing accurate and timely payroll for union and non-union employees in a construction environment. This role ensures compliance with collective bargaining agreements (CBAs), prevailing wage requirements, and federal, state, and local regulations. The ideal candidate has hands-on experience with construction payroll, union reporting, Plexxis ERP and UKG HRIS software, and works well in a fast-paced, deadline-driven setting.
WHAT YOU’LL DO
Payroll Processing
  • Support weekly construction payroll for union and non-union employees using Plexxis Software
  • Review, verify, and import timecards, job cost coding, reimbursements, labor allocations
  • Ensure accurate calculation of wages, incentive pay, overtime, shift differentials, deductions, and garnishments
  • Prepare payroll and other reports for internal teams, unions, and external agencies
Union Reporting
  • Interpret and apply collective bargaining agreements (CBAs) accurately
  • Calculate and administer union dues, benefits contributions, annuities, and fringe benefits
  • Prepare and submit required union reports and payments on schedule
  • Reconcile payroll deductions, benefits, and union contributions
  • Support prevailing wage and certified payroll requirements when applicable
  • Assist with audits related to payroll, unions, or benefits
Administrative Duties
  • Answer and route phone calls in a professional and courteous manner
  • Greet visitors and serve as the first point of contact for employees, clients, and vendors
  • Maintain a clean, organized, professional office and reception area
  • Manage incoming and outgoing mail, deliveries, and correspondence
  • Order, track, and maintain office supplies and equipment
Employee Support
  • Respond to employee payroll inquiries professionally and confidentially
  • Work closely with HR, project managers, safety team, and accounting to resolve issues and questions
  • Support the new hire process and reporting using UKG and Plexxis software
WHO YOU ARE
Required
  • 2+ years of payroll experience in a construction environment
  • Strong understanding of payroll laws, garnishments, wage amp; hour compliance, and union reporting
  • High attention to detail with strong organizational and time-management skills
Preferred
  • Bachelor’s degree in business administration or related field or equivalent experience
  • Experience with prevailing wage or certified payroll
  • Familiarity with multi-union environments
  • Experience working with job costing systems
  • Direct experience processing union payroll and working with CBAs
  • Hands-on experience using UKG HRIS software highly preferred
  • Hands-on experience using Plexxis payroll software
  • Ability to communicate in Spanish and English highly prefer
