Office Administrator / Permit Coordinator
Pickwick Well Drilling is seeking a detail-oriented and organized Office Administrator / Permit Coordinator to support our growing well drilling and pump installation operations. The ideal candidate will have experience with construction permitting, customer service, scheduling, and construction management software such as Jobber or similar platforms.
Responsibilities
- Coordinate and process well drilling, pump installation, and related permits with local, county, and state agencies.
- Prepare and submit permit applications, track approvals, and maintain compliance records.
- Manage work orders, scheduling, and customer information using Jobber or similar field service management software.
- Answer phones, schedule appointments, and provide exceptional customer service.
- Create estimates, invoices, and project documentation.
- Coordinate schedules between customers, field crews, subcontractors, and inspectors.
- Maintain digital and paper filing systems for permits, contracts, and project records.
- Track project status and ensure all required documentation is completed and submitted.
- Assist with accounts receivable, accounts payable, and general office administration.
- Support management with reporting, data entry, and special projects.
Qualifications
- Previous office administration experience in construction, utilities, drilling, plumbing, excavation, or related industries preferred.
- Experience obtaining and managing construction permits required.
- Proficiency with Jobber or similar construction/service management software.
- Strong computer skills, including Microsoft Office and Google Workspace.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Ability to work independently and manage multiple deadlines.
- High attention to detail and accuracy.
Preferred Qualifications
- Experience with construction permitting.
- Familiarity with NJDEP permitting and regulatory processes.
- Experience with bookkeeping, invoicing, and customer account management.
- Knowledge of QuickBooks is a plus.
