About the Position
AJ Construction, Inc. is seeking a dependable and organized Construction Office Assistant to join our team in Richland, Mississippi.
This position will provide general clerical and administrative support while also assisting our estimator and construction office with the day-to-day tasks necessary to keep our operations organized and running efficiently.
The ideal candidate will have prior office assistant or administrative experience. Construction industry experience is highly preferred, particularly experience working in a construction office, with contractors, bids, subcontractors, or job-related documentation.
This is a hands-on position for someone who is organized, detail-oriented, dependable, comfortable working with computers, and able to manage multiple tasks throughout the day.
Responsibilities
  • Answer and direct incoming telephone calls in a professional manner
  • Provide general clerical and administrative support
  • Assist the estimator with daily administrative tasks
  • Assist with construction bid preparation, compliance, and submission
  • Enter and maintain data in spreadsheets, software, and company records
  • Assist with organizing and maintaining construction and office documentation
  • Assist with managing the day-to-day operation of the construction office
  • Prepare, organize, scan, copy, and file documents
  • Communicate with vendors, subcontractors, customers, and other business contacts as needed
  • Assist with tracking and organizing project-related information
  • Assist with invoices, purchase orders, time records, and other administrative paperwork
  • Maintain accurate records and ensure documents are complete and properly organized
  • Perform general office duties and other administrative tasks as assigned
  • Help keep the office organized and operating efficiently

Qualifications
Required:
  • Previous office assistant, administrative assistant, or similar office experience preferred
  • Strong organizational and time-management skills
  • Good written and verbal communication skills
  • Professional and courteous telephone manner
  • Basic to intermediate computer skills
  • Ability to work independently and prioritize multiple tasks
  • Strong attention to detail and accuracy
  • Dependable and punctual

Highly Preferred:
  • Previous construction industry experience
  • Experience working in a construction office
  • Experience assisting an estimator, project manager, or construction administrator
  • Familiarity with construction bids, bid documents, or bid compliance
  • Experience with Excel or other spreadsheet software
  • Experience with accounting, job-costing, or construction management software

We are looking for someone who is reliable, organized, detail-oriented, and willing to learn. The right person will be comfortable taking on a variety of responsibilities and helping wherever needed to keep the office and construction operations moving.
Construction experience is a significant plus, but we are also willing to consider a strong office/administrative candidate who has the right attitude, work ethic, and ability to learn the construction side of the business.
Compensation
$18.00-$22.00 per hour, depending on experience and qualifications.
The position is expected to be approximately 30-40 hours per week.
