Job Title: Contract Administrator / Bookkeeper

Job Type: Full-time (Open to Part-time)

Salary: $16.00+ per hour

Location: Moss Point, MS (On-site)

We are a small, family-owned business offering welding, laser/waterjet cutting, and machining services. Our goal is to meet or exceed our customers' expectations by manufacturing quality products at the best possible price. The key to meeting this goal starts with hiring and retaining the best possible employees who are committed to our small team.


The Role: We are looking for a dedicated Contract Administrator / Bookkeeper to join our team. The successful candidate will be the backbone of our day-to-day clerical operations, handling everything from preparing contract documents for production to managing accounts payable/receivable in QuickBooks.

Responsibilities:

  • Create contract documents for production and maintain a spreadsheet of open contracts.
  • Create accounts receivable invoices in QuickBooks and arrange shipping.
  • Maintain quote history and return sales quotes to customers.
  • Process customer payments, issue monthly statements, and contact delinquent accounts.
  • Assist with accounts payable and general purchasing needs.
  • Maintain and organize office files, records, and incoming/outgoing mail.
  • Assist with answering and directing phone calls.
  • Submit various annual forms required by customers.
  • Assist with preparing monthly safety luncheons.


Skills & Qualifications:

  • Excellent communication abilities (speaking, writing, and active listening) and great customer service skills.
  • Effective organization, multitasking, and time-management skills.
  • Keen attention to detail and problem-solving abilities.
  • Ability to work independently in a fast-paced environment and follow detailed verbal/written instructions.
  • Good computer troubleshooting skills and proficiency with Microsoft Word, Excel, and Outlook.
  • Average or above-average typing speed.


Education & Experience:

  • High school diploma or equivalent (Preferred).
  • Minimum 1-2 years in a clerical or bookkeeping position.
  • Experience using QuickBooks (QuickBooks Enterprise experience is a major plus).


Physical & Other Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Occasional lifting of up to 20 lbs and the ability to walk up stairs.
  • Must have reliable transportation and a valid driver's license.
