Construction Office Manager / Operations Coordinator (Full-Time)

We are seeking a highly organized, proactive, and experienced Construction Office Manager / Operations Coordinator to oversee the day-to-day operations of a fast-paced construction company.

This role is ideal for someone who takes ownership, solves problems independently, follows through, and thrives in a fast-moving environment. You will be a key link between clients, project supervisors, subcontractors, vendors, and city departments helping keep projects organized, moving, and on track.

Key Responsibilities:

* Apply for building permits and coordinate meter spot requests

* Communicate and coordinate with city departments, inspectors, and utility companies

* Obtain quotes from suppliers and subcontractors

* Prepare and organize job files for new and ongoing projects

* Order materials and coordinate deliveries

* Prepare project scopes of work and assist with cost estimates

* Draft, track, and manage change orders

* Communicate with clients regarding project updates, materials, scheduling, and support needs

* Coordinate with project supervisors to schedule subcontractors, inspections, materials, and timelines

* Track project schedules, budgets, deadlines, and overall progress

* Prepare and send customer invoices

* Coordinate with architects and engineers to obtain and organize project information

* Schedule meetings with clients, subcontractors, and internal team members

* Ensure follow-through on outstanding items and proactively solve issues before they become problems

Qualifications:

* Previous experience in construction administration, project coordination, or construction office management REQUIRED

* Strong knowledge of permits, city processes, subcontractor coordination, and construction workflow preferred

* Exceptional organizational and multitasking skills

* Strong communication and follow-up skills

* Proficiency in Microsoft Office (Excel, Word, Outlook); construction software experience is a plus, construction software advantage (builder-trend)

* Ability to manage multiple projects and deadlines simultaneously

* Detail-oriented, proactive, and strong problem-solver

* Ability to work independently with minimal supervision

Compensation:
