Job description

Appointment Confirmation Specialist (Part-Time)Position Summary

The Appointment Confirmation Specialist is responsible for ensuring scheduled appointments are confirmed and maintained to maximize appointment retention and field productivity. This role will proactively contact customers 48 hours prior to their scheduled appointment to verify attendance, address scheduling conflicts, and minimize cancellations. When cancellations occur, the specialist will work to backfill open appointment slots to maintain a full schedule.

This position plays a critical role in supporting company performance by improving show rates, reducing appointment fallout, and assisting the call center with appointment-setting activities as needed.

Schedule

Part-Time

  • Monday – Friday
  • 3:00 PM – 7:00 PM
Essential Duties & Responsibilities
  • Contact customers with upcoming appointments approximately 48 hours prior to their scheduled appointment date and time.
  • Confirm customer availability and commitment to the scheduled appointment.
  • Identify and address potential appointment conflicts or concerns.
  • Document confirmation outcomes accurately in company systems.
  • Manage appointment cancellations and reschedules in a timely manner.
  • Proactively backfill open appointment slots resulting from cancellations or no-shows.
  • Work closely with scheduling and operations teams to optimize appointment calendars.
  • Assist the call center with outbound appointment-setting efforts when appointment confirmations are completed.
  • Support additional office and administrative duties as assigned.
  • Maintain professionalism and provide exceptional customer service during all customer interactions.
  • Meet established productivity, confirmation, and backfill goals.
Qualifications

Required

  • High school diploma or equivalent.
  • Excellent verbal communication and customer service skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work in a fast-paced environment.
  • Basic computer proficiency and experience working within CRM or scheduling systems.
  • Dependable attendance and punctuality.

Preferred

  • Previous call center, customer service, scheduling, or appointment-setting experience.
  • Experience working in a performance-driven environment with measurable goals.
