Job description

The Event Coordinator is a highly organized and proactive team member responsible for planning, coordinating, and executing company events and community initiatives. This role ensures events are well-organized, engaging, and aligned with the company's culture and values. The Event Coordinator manages logistics, vendor relationships, event materials, and employee engagement activities while maintaining strong attention to detail and budget awareness. This position plays a key role in creating positive employee experiences and strengthening community presence across all locations.

Responsibilities:

Event Planning & Execution:

Assist in planning and executing company events, including employee gatherings, family events, celebrations, meetings, and special programs.

Coordinate logistics, including venue selection, catering, materials, timelines, registration, setup, and post-event breakdown.

Support community outreach initiatives across various locations.

Ensure events reflect company culture, values, and brand standards.

Vendor & Resource Management:

Maintain and manage vendor relationships for events, sponsorships, promotional items, and rentals.

Obtain quotes, manage budgets, and track event expenses.

Coordinate the delivery of materials and ensure timely setup and execution.

Employee Engagement & Program Support:

Manage the internal company store, recognition items, swag inventory, and related materials.
Support employee recognition initiatives and engagement programs.

Track participation, feedback, and event metrics to support continuous improvement.

Provide general administrative and project coordination support as needed.

Other support duties as assigned.

Requirements & Qualities:

Bachelor's degree in Event Management, Hospitality, Marketing, Business, or related field (preferred, not required).

2+ years of experience in event coordination, hospitality, or a related role.

Experience managing vendors and coordinating logistics.

Proficiency in Google Suite and Asana or experience with event management tools is a plus. Skills & Attributes:

Ability to manage multiple projects simultaneously.
