We are seeking a Reimbursement Order Confirmation Specialist to join our team!

SUMMARY

A Reimbursement Order Confirmation Specialist will support Atos Medical Management by carefully reviewing sales orders before shipment to ensure accurate and efficient claim processing. Strong time management and organizational skills are essential, as this role collaborates closely with internal teams, including Customer Service, Customer Support, Administrative Services, and Insurance. 

JOB RESPONSIBILITIES

Order Review & Verification

  • Review sales orders for completeness and accuracy in accordance with company billing guidelines, departmental processes, and insurance requirements.
  • Conduct detailed pre-shipment reviews to proactively identify and correct errors that could result in claim denials, including:
    • Ensuring prescriptions are complete and accurate
    • Verifying insurance benefit checks are current
    • Confirming all message tabs are cleared
    • Validating clinical documentation supports dispensing of increased quantities
    • Preparing billed quantities for items with similar HCPC codes for payer submission
  • Confirm sales orders post-shipment-an essential step that initiates revenue booking.
  • Return incomplete or inaccurate sales orders to DtC teams for correction.

Queue & Workflow Management

  • Manage three dedicated work queues aligned with different stages of the order lifecycle to ensure timely and accurate processing.
  • Collaborate with Customer Service and Customer Support teams to expedite patient orders as needed.

Claims Preparation & Processing

  • Prepare invoices and patient insurance information for claims filing.
  • Enter all necessary information into claims filing software to generate electronic or paper claims.
  • Review Medicare and Commercial eligibility for plan benefits.

Compliance, Documentation & Reporting

  • Establish and maintain billing records and patient insurance information in compliance with Medicare, HIPAA, and departmental guidelines.
  • Maintain regular communication with leadership to report trends in staff errors, supporting targeted training and reducing rework.
  • Communicate discrepancies, issues, or complaints to the Revenue Cycle Manager.

Team Support and Additional Duties

  • Support departmental efficiency by backing up other colleagues as needed.
  • Participate in departmental meetings and contribute to continuous improvement initiatives.
  • Maintain a professional and courteous approach in all customer and team interactions.
  • Perform other duties as assigned by the Revenue Cycle Manager.

 

 

BASIC QUALIFICATIONS

  • HS Diploma or equivalent
  • Two years of medical billing and/or related experience within a healthcare setting
  • Exceptional customer focus and ability to work under tight deadlines
  • Demonstrated ability to review and process complex billing information, and resolve discrepancies independently while coordinating effectively with team members and other departments.

PREFERRED QUALIFICATIONS

  • Associate or Bachelor's degree preferred
  • 3-5 years of related experience within the DME or Life Science industry
  • Medicaid, Medicare and commercial insurance knowledge preferred
  • Brightree experience preferred

 

SKILLS & ABILITIES

  • Strong decision-making skills with sound judgment in complex situations.
  • Excellent analytical and problem-solving abilities with keen attention to detail.
  • Effective verbal and written communication skills across diverse audiences.
  • Demonstrated commitment to providing exceptional customer service.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general computer applications.
  • Ability to prioritize, manage, and complete multiple tasks in a fast-paced environment.
  • Quick learner with strong technical aptitude and the ability to understand data flow and system interactions.
  • Working knowledge of medical terminology, billing processes, office procedures, and basic mathematics.
  • Ability to maintain strict confidentiality of sensitive information.
  • Skilled in accessing and using database and billing software applications.
  • Familiarity with funding qualification methods, collection laws, and reimbursement regulations.
  • Demonstrated competencies in customer service, judgment, organization, quality, professionalism, and adaptability.
