General Description
This position provides a combination of advanced organizational, technical, logistical and communication skills in direct support of the department. Incumbent supports the work of the department in developing, coordinating and controlling the work of several extensive and complex projects. Based on knowledge of management policies, views, plans and interest, takes the initiative in managing the flow of work, using sound judgement and tact while deciding priorities. Incumbent performs his/her work under minimum supervision.
Duties and Responsibilities
Incumbent may perform any combination of the tasks listed below:
  • Assists in the identification of training locations, facilities, and lodging.
  • Coordinates, as assigned, small to medium sized meetings and conferences with conference hotel staff from first contact through post-conference follow-up including contracts, room and time scheduling, banquets, audiovisual equipment and billing.
  • Assists in the coordination of statewide conferences including notices, coordination with instructors, registration, training equipment, room assignments, and billing.
  • Prepares logistical information for various Association conference planning committees.
  • Coordinates housing for conferences that require rooming lists and roommate assignments.
  • Coordinates with conference exhibitors, maintaining contact database, sending invitations assigning floor space and working with key contacts onsite.
  • Coordinates all aspects of grants process for Association conferences including but not limited to maintenance of the database of applicants, preparation of summary reports of grant applications for the Training and Development Committee of the CTA Board of Directors, notification to awardees, registration assistance and expense reconciliation.
  • Reconciles purchase orders and expense claims.
  • Tracks conference registration, receivables and payables. Facilitates collections of fees.
  • Assists with marketing conferences through direct mail and electronic marketing campaigns.
  • Creates and maintains registration system for assigned conferences, updates records and creates reports.
  • Works within membership database to manage records, run queries and reports.
  • Prepares conference surveys and evaluations, compiling results and creating reports for review.
  • Works with Business Services Department in the purchasing of conference and department supplies.
  • Prepares, as requested, materials for committees of the CTA Board of Directors.
  • Provides administrative support to the programs assigned to the department.
  • Composes and prepares detailed correspondence for the department.
  • Prepares materials for duplication and performs other logistics as assigned.
  • Provides high level of customer service through telephone and written inquiry while ensuring complete member satisfaction with the department's services.
  • Uses Excel and Access to assist with developing and analyzing data for budgeting reports and trend analysis.
  • Edits to final form minutes of meetings.
  • Performs other appropriate duties as assigned.

Qualifications
  • Bachelor's degree, or Associate degree & 2 years relevant experience or High School diploma/GED and 5 years relevant experience.
  • Proficient in the use of databases (including report generating functions), word processing, spreadsheets, e-mail, conference specification design software, and event management software systems.
  • Ability to function effectively under pressure and while working on multiple projects and/or organizational goals.
  • Ability to stand and walk for extended hours, as well as, able to carry boxes of materials, exhibits and supplies up to 30 lbs.
  • Ability to initiate work and follow through on large complex projects.
  • Ability to work independently and with minimal supervision.
  • Ability to analyze work problems and recommend appropriate solutions.
  • Demonstrated ability to write, edit and communicate effectively.
  • Computer proficiency and the ability to learn and use the Association's software programs.
  • Demonstrated ability to work cooperatively with fellow employees in a complex interdependent departmental structure.
  • Ability to work overtime and travel, including weekends.

Desirable Additional Qualifications
  • Extensive knowledge of CTA's organization, its administrative and policy-making bodies, and program delivery structure.
  • Event execution experience working directly with hotel room blocks and conference event space.
  • Prior customer service and/or call center experience.
  • Experience using WordPress, Canva, and Social Tables.

*This position is in a bargaining unit represented by CAS. Salaries are established by a collective bargaining agreement. Step placement is also determined by the CTA/CAS Agreement.
