What this job involves:

Step into a pivotal role as our CMMS Planner Coordinator, where you'll be the operational backbone of our Engineering Services team by planning, scheduling, and coordinating all Preventive Maintenance (PM/RM), Asset Management System activities, and reactive maintenance operations. This position is essential to JLL's commitment to delivering seamless facility management services by ensuring maximum equipment reliability and uptime for our clients. You'll provide ongoing operational and technical support to our Computerized Maintenance Management System (CMMS), working directly with suppliers, field personnel, contractors, and customer stakeholders to schedule support for integrated facility managed accounts while minimizing disruption to operations. This is an excellent opportunity for detail-oriented professionals who excel at coordinating complex maintenance operations and ensuring that required resources are identified, planned, estimated, organized, and scheduled prior to execution for efficient utilization of maintenance resources.

What your day-to-day will look like:

  • Maintain an excellent working knowledge of the designated CMMS platform and provide consistent high-level support to field and back office technical processes to ensure seamless and timely service delivery to client operations.

  • Manage server and system database operations to maintain high-level system operation and minimize operational impact, while developing and implementing automated operational data report generation to deliver performance analysis and performance projections.

  • Support operational analysis of all engineering performance metrics and balance technician and contractor workloads to scheduled dates of completion, ensuring efficient resource utilization across all maintenance activities.

  • Work with administrative software platform developers to ensure maximum utilization of system capabilities in meeting client expectations and development of improved capabilities, while providing ongoing CMMS system user training to ensure effective utilization by field and back office operations.

  • Monitor financial completion steps tied to the CMMS system including proposals, quotes, satellite order systems, invoicing, and budgetary feeds to ensure accurate tracking and financial accountability.

  • Manage CMMS hardware and software implementation processes on all added client portfolios, coordinating with suppliers to schedule support while ensuring no disruption to customer operations.

  • Generate required customer reports and provide reporting based on client needs, ensuring applicable business information and work order data is stored and maintained to support business decisions when needed.

Required Qualifications:

  • Minimum 5 years of experience in customer service support within a technical environment with demonstrated ability to support field software implementation and building engineering operations.

  • Proficiency in MS Word, Excel, and SharePoint with experience in CMMS work order and/or purchasing systems.

  • Skills in managing data warehouses and mining performance data with outstanding written and oral communication skills.

  • Capability to work both on-site and remotely by designated schedule with flexibility to support diverse operational needs.

  • Strong organizational skills with the ability to identify, plan, estimate, organize, and schedule required resources prior to execution for efficient maintenance resource utilization.

Preferred Qualifications:

  • Experience in directly supporting outside suppliers and on-site contractors in scheduling, site access, and flow of satisfactory completion processes for clients.

  • High degree of customer service orientation for diverse groups including clients, local project and operational management, procurement and sourcing teams, and external contractors.

  • Proficiency in Corrigo Enterprise, Corrigo PRO, Corrigo Customer Portal, and Corrigo Mobile applications.

  • Proven track record of working closely with multiple business functions to support business goals and deliver exceptional client service.

  • Experience in managing complex scheduling operations across multiple client portfolios while ensuring compliance with maintenance protocols and client expectations.
