We are looking for an experienced and motivated individual to fill the position of Leave Administration Analyst within our Leave Administration group based in Houston, Texas. This role reports to the Leave Administration Supervisor.
Essential Job Responsibilities
AbsenceSoft System Administration
Manage AbsenceSoft leave system configuration, including leave policy eligibility rules, automated communications, workflow configurations, and reporting setup to ensure accurate and compliant leave program administration.
Conduct AbsenceSoft system testing, including new release testing and regression testing, to validate functionality and maintain system integrity.
Monitor AbsenceSoft integrations to ensure accurate, timely data flow between AbsenceSoft and downstream systems, escalating issues as appropriate.
Workday Absence Management
Review and correct absence entries in Workday based on time away and leave activity, auditing time and absence data to identify and resolve discrepancies that could impact pay, accruals, or compliance.
Perform ongoing daily and weekly Workday absence system audits to maintain data accuracy and integrity.
Monitor daily leave integration files loading into Workday for payroll processing, ensuring timely and accurate data transmission.
Serve as the primary point of contact for all absence integration files, managing and troubleshooting six integration feeds between leave administration systems and Workday.
Complete unapproved absence entry reviews and audits in alignment with the payroll processing schedule.
Support Workday Absence research, testing, and system integrity initiatives, including semiannual release testing, integration monitoring, and collaboration with HRIS and integration partners to ensure accurate data flow between systems and vendors.
Process payroll offsets in accordance with applicable policies and regulations.
Transactions & Case Management
Respond to employee and HR inquiries related to time away and leave, resolving Workday Help cases in a timely and accurate manner.
Complete employee transfer transactions required for all time off benefit balance movements, ensuring accurate and compliant processing.
Process absence transactions in Workday system with company policy and plan requirements.
Projects & Continuous Improvement
Support complex projects and strategic initiatives within the Time Away and Absence function, contributing advanced technical expertise, cross-functional coordination, and strong operational judgment to drive successful outcomes.
Partner with HRIS, Payroll, and integration partners to identify data discrepancies, improve workflows, and implement process enhancements.
Contribute to the development and maintenance of standard operating procedures (SOPs), knowledge articles, and process documentation related to absence administration and system operations.
Skills
Hands-on proficiency with AbsenceSoft leave management platform, including system configuration, workflow setup, and reporting.
Strong working knowledge of Workday Absence Management, including transaction processing, auditing, and integration monitoring.
Exceptional attention to detail with the ability to identify and resolve data discrepancies that impact payroll, accruals, and compliance.
Strong analytical and critical thinking skills, with the ability to troubleshoot complex system and data issues independently.
Excellent written and verbal communication skills, with the ability to explain technical information clearly to both HR and non-HR audiences.
Strong organizational skills and ability to manage multiple recurring deadlines, audit schedules, and project deliverables simultaneously.
Dedication to data integrity, compliance, and delivering high-quality service to employees and HR partners.
Qualifications
Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field is required.
A minimum of 7 years of experience in leave administration, HR operations, or HRIS with a focus on absence management.
Hands-on experience with AbsenceSoft leave management system configuration and administration.
Demonstrated experience with Workday Absence Management, including transaction processing, auditing, and integration file management.
Working knowledge of federal and state leave laws, including FMLA, and related payroll implications.
Experience performing system audits and resolving data integrity issues in HR systems.
Proven ability to manage integration files and collaborate with HRIS and technical partners to resolve data flow issues.
Exceptional problem-solving and critical thinking skills.
Excellent communication and organizational skills with strong attention to detail.
High proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
Additional Desired Qualifications
Experience with Workday semiannual release testing and regression testing processes.
Familiarity with payroll offset processing.
Experience supporting cross-functional HR technology projects and system implementation initiatives.
Knowledge of absence plan processing and Workday system transaction procedures.
Experience creating and maintaining SOPs and process documentation in a leave or HR operations environment.
