Development AssistantPosition Summary

The Development Assistant provides administrative, operational, communications, and event support for the organization’s fundraising and community engagement activities. This position maintains accurate donor records, processes and acknowledges gifts, supports donor cultivation and stewardship, coordinates fundraising events, and assists with digital and printed communications. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable balancing data management with donor-facing responsibilities.

Essential Duties and ResponsibilitiesFundraising and Donor Services
  • Accurately process and record contributions received online or by check, wire transfer, stock, or in-kind donation.
  • Maintain the donor database, including updating contact information, correcting coding errors, merging duplicate records, and documenting donor interactions.
  • Prepare personalized acknowledgment letters and tax receipts for distribution within 48 hours of receiving a gift.
  • Conduct prospect research and prepare concise donor profiles for leadership.
  • Generate routine fundraising, gift history, campaign, and donor activity reports.
  • Schedule donor meetings and site tours; prepare presentation materials, pledge forms, printed collateral, and gift history reports.
  • Communicate professionally with donors by telephone and email and support timely follow-up.
  • Maintain donor recognition records and coordinate updates to recognition materials.
  • Track deliverables and maintain communication with contractors within the position’s reporting line.
Event Planning and Execution
  • Develop and maintain event timelines from initial concept through completion.
  • Support vendor selection by obtaining bids, coordinating communications, and assisting with contract review.
  • Coordinate technology, entertainment, catering, rental, and other logistical needs.
  • Track event budgets, invoices, and expenses.
  • Organize site visits and assist with venue layout and event setup planning.
  • Support on-site execution, rental returns, debrief documentation, and impact reporting.
  • Conduct post-event donor follow-up and enter attendee and engagement data into the appropriate system.
Communications and Community Engagement
  • Proofread and design internal documents, presentations, and organizational collateral.
  • Complete routine website updates and help maintain accurate, timely content.
  • Document resident stories through photographs, video, and written narratives with appropriate authorization.
  • Draft and schedule social media content consistent with organizational messaging.
  • Develop digital and printed collateral for fundraising, events, and outreach.
  • Support campaign content creation, audience segmentation, basic analytics, and multichannel outreach.
  • Provide follow-up and coordination support for regional business and government relations activities.
Required Qualifications
  • Associate or bachelor’s degree in communications, marketing, nonprofit management, business administration, or a related field preferred.
  • Relevant experience in fundraising, donor relations, event coordination, communications, marketing, or administrative support.
  • Demonstrated skill in database maintenance, spreadsheets, reporting, and dashboard development.
  • Proficiency with Microsoft Office; experience with Canva, WordPress, donor management systems, email marketing platforms, or similar tools preferred.
  • Strong written, verbal, and interpersonal communication skills, including the ability to prepare professional correspondence and handwritten notes.
  • Excellent organization, accuracy, time management, and attention to detail.
  • Ability to manage multiple priorities, work independently, exercise sound judgment, and meet deadlines.
