Job description

We are searching for the right and the exceptional Bookeeper Office Manager

Growing landscape design and installation company is looking for a committed, go-getting individual to join our high-performing team.

We are looking for you!-a bookeeper and office manager who will provide executive-level support to our owner-designer and overall office.

The ideal candidate is looking for a small company where they can use their skills and abilities to bolster, support and process our growth and expansion. They are dedicated to their work and are strongly detail oriented, and go-getting, pursuing results and accomplishing tasks overall outcomes.

Some training will be provided by the owner and a training manual for existing office systems and Bookeeping. Fluency in Mac and PC platforms, Bookeeping , some light accounting and Quickbooks is required to apply for this position.

Desired Experience and Abilities:

5 years of continuous Bookeeping experience and acumen -famliarity with terminology, categorizing expenses within a construction environment, job costing, producing reports, handling various kinds of reporting and interface with client paperwork as well as some state and federal paperwork on occasion.
An 'I see this through because it matters' approach with a willingness and desire to become indispensable. Fluency with Mac world and the ability to use a PC is required as well as fluency with Quickbooks and spreadsheets, excellent verbal and written communication skills, good basic math skills.

The Office Manager will expand on existing systems and processes and assist and/or generate new ones, as well as be looking for and noticing areas where protocols and new processes are needed and/or are essential and immediately needed-- in our office systems, our Bookeeping systems and field tracking/job costing areas.

Duties:

Help organize data and information on our desktop so they are top of mind and easy to find.

Initiate and help with the analysis of expenses to continuously look for cost-cutting measures.

Retrieve and use data from Quickbooks,

Online Research as needed

Communicate with our accountant

Retrieve our documents and files from the desktop

Negotiating arrangements and agreements with vendors and creditors

Paying and filling GRT reports in collaboration with the owner each month.

Organizing our paper files in file cabinets

Archiving current and past files

Organizing these files to be archived

Tabulating and putting into calculations each project’s spreadsheet documents for review and profitability analysis with owner.

Creating a written work program in collaboration with the manager and field team, to establish committed costing for labor and materials and overall execution of each project, with some money management for materials and labor costs.

Paying for,-scheduling and- ordering materials

Tabulating expenses--tracking and projecting cash flow, providing job costing reports and establishing the final parts of our system to produce such reports, liason with accounting/accountant in reconciling various accounts, maintaining client records, filing tax reports if needed, tabulating job costs and calling clients to discuss invoices, generating invoices, reviewing scope of work, providing support to employees

This position entails no mediation or moderating between employees, no full scale HR except for paperwork processing, and onboarding in our payroll program. Writing payroll and calculating taxes or processing weekly taxes is also not a part of the duties of this position.

Responsive communications with owner, clients, vendors and sometimes the installation team, contract invoicing; managing owner's scheduling, and some collections and banking deposits.

Other duties include running payroll in our payroll program, reviewing timesheets, and submitting accurate information to ADP. Familiarty with ADP payroll is great but not required. This training will be provided.

Professional client communications with a sophisticated customer service style to interface with high-end clients. We need someone with strong analytical/problem-solving skills using sound judgment within policy parameters. Advanced technical and computer skills needed to draft documents and support administrative functions. , with excellent editing and proofreading ability.

Our support: Time in training 2-4 weeks, training with the owner, familiarizing with our projects and clients, question and answer periods, a full suite of computers, iPads and PC computers, book-keeping support through Quickbooks and with our accountant and bookeeper.

COMPENSATION: $30 per hour.

SCHEDULE: 30-40 hours per week.

BENEFITS: Referral bonuses and other incentives, monthly lunch with the field team, retirement contributions,

for the high performing individual-performance based raises periodically, increased responsibilities and position advancement-into sales and/or management.

2 weeks PTO/vacation. accrued sick time at the state rate.
