We're looking for a highly organized, detail-oriented Bookkeeper & Administrative Coordinator to help manage the financial and administrative operations across our businesses. This position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and wants the opportunity to grow alongside a company that is actively expanding.
Responsibilities
Maintain bookkeeping records in QuickBooks Online
Reconcile bank accounts, credit cards, loans, and other financial accounts
Manage accounts payable and accounts receivable
Create and process invoices
Track expenses and maintain organized financial records
Assist with monthly financial reporting and account reviews
Prepare records and reports for CPA and tax preparation
Process payroll through Gusto
Maintain employee and contractor records
Prepare and track 1099 contractors
Reconcile and maintain brokerage escrow/trust accounts in compliance with Georgia Real Estate Commission requirements
Assist with inventory tracking and financial organization for retail operations
Organize digital files and business records
Coordinate with accountants, attorneys, vendors, and service providers
Help create and improve systems, workflows, and operational processes
Provide general administrative support as needed
Qualifications
✔ Minimum 2 years of bookkeeping experience
✔ Experience with QuickBooks Online
✔ Strong understanding of bookkeeping and accounting principles
✔ Experience with bank reconciliations, accounts payable, and accounts receivable
✔ Strong organizational skills and attention to detail
✔ Ability to prioritize tasks and manage multiple companies simultaneously
✔ Professional communication skills
✔ Ability to maintain confidentiality and handle sensitive financial information
✔ Self-motivated with the ability to work independently
Preferred Qualifications
⭐ Experience with real estate brokerage bookkeeping
⭐ Experience balancing and reconciling escrow/trust accounts
⭐ Experience processing payroll through Gusto
⭐ Experience preparing and managing 1099 contractors
⭐ Experience with retail inventory tracking and reporting
⭐ Experience with construction, real estate, property management, hospitality, or retail businesses
⭐ Experience working directly with CPAs and tax professionals
