About the Role

We are looking for a detail-oriented and organized Administrative Bookkeeping Assistant to help manage our daily financial transactions and ensure our records remain accurate and compliant. You will be the backbone of our financial operations, handling everything from accounts payable to month-end reconciliations.

The ideal candidate doesn't just "input data” they understand the story the numbers are telling and help us maintain a clear picture of our financial health.

Key Responsibilities

  • Daily Ledger Management: Record all daily financial transactions (sales, receipts, and payments) and post them to the appropriate accounts.
  • Accounts Payable & Receivable: Manage vendor invoices, process payments, and oversee customer billing and collections.
  • Bank Reconciliation: Perform monthly reconciliations of all bank and credit card accounts to ensure 100% accuracy.
  • Payroll Processing: Assist with Weekly payroll runs, including tax withholdings and benefits tracking.
  • Financial Reporting: Prepare monthly balance sheets, P&L statements, and cash flow reports for management review.
  • Compliance: Maintain an orderly filing system and assist with tax preparation (Sales Tax, 1099s, etc.) as needed.
  • Records and Filing: Maintain all company records properly updated and filed.
  • Administrative Support: Maintain digital filing systems, manage company contracts and insurance, and handle incoming inquiries via phone and email.

Qualifications & Skills

  • Experience: 2+ years of experience in Accounting.
  • Education: Degree in Accounting, Finance.
  • Tech Savvy: Expert-level proficiency in Microsoft Excel and Applications, QuickBooks Online.
