Primary Responsibilities & Attitude

The Operations Associate will be an integral part of our team. On a day-to-day basis, you will work closely with our broader team to support our clients. Our business is continually evolving, and you will help us shape its growth. We're looking for someone who is known for their work ethic, takes initiative, and considers themselves to be entrepreneurial, innovative, and likes a challenge.

You are responsible for:

  • Perform a variety of operational tasks in support of client or shareholder transactions.
  • Review time-sensitive and/or complex documents.
  • Process daily production work accurately and timely within SLAs.
  • Other duties may include receiving, logging, batching, scanning, preparing, and distributing incoming and/or outgoing mail.
  • Maintain a strong focus on client retention and growth by delivering exceptional service.
  • Escalates time-sensitive and large exceptions to management appropriately.
  • Provide back-up support to other departments as appropriate.
  • Adhere to internal policies and procedures.
  • Actively participate in team meetings and bring ideas for positive change.
  • Provide assistance with ad hoc reporting and other special projects, as applicable.

Skills and Experience:

  • 2+ years of experience in one or a combination of the following: customer service, operations, financial services, accounting, business processing, analytical, financial, clerical or call center
  • Strong attention to detail and accuracy
  • Excellent verbal, written, and interpersonal communication skills.
  • Effective organizational, multi-tasking, and prioritizing skills
  • Ability to work independently, proactively, and creatively while exercising sound judgement.
  • Solutions-based attitude and an eagerness to drive process improvements by identifying problem areas and presenting solutions to management.
  • Strong time management skills
  • Intermediate Microsoft Office skills
  • Ability to maintain confidentiality of any sensitive information as part of the job function.
  • Must be able to effectively read, write and speak English.
  • Willing and able to work extended hours as needed.
  • Prior experience in an operational environment
  • Prior Securities Industry or Transfer Agent experience an asset.
