Job Summary:

Nordic Naturals is seeking a Talent Acquisition Associate to play a critical role in delivering a seamless and efficient hiring experience by coordinating recruiting operations, interview scheduling, and candidate logistics while supporting broader Talent Acquisition initiatives. This role serves as the operational backbone of the Talent Acquisition team, ensuring an exceptional candidate and hiring manager experience through outstanding organization, communication, and execution.

In addition to managing the day-to-day coordination of interviews and recruiting activities, the Talent Acquisition Associate contributes to strategic Talent Acquisition projects that strengthen the organization's ability to attract, engage, and hire top talent. These projects may include employer branding, recruiting process improvements, workforce planning, talent analytics, recruiting technology enhancements, and talent pipeline development. The role partners closely with Recruiters, Hiring Managers, HR, and cross-functional business leaders to drive operational excellence while supporting long-term talent strategy.

Key Responsibilities/Essential Functions:

  • Coordinate and schedule interviews across all levels of the organization, ensuring a positive and professional candidate experience.
  • Manage candidate communications throughout the interview process, including interview confirmations, travel coordination (when applicable), and status updates.
  • Support recruiters with job posting administration, applicant tracking system (ATS) management, offer preparation, and onboarding coordination.
  • Maintain data integrity within the ATS and ensure recruiting activities are accurately documented.
  • Monitor interview logistics and proactively resolve scheduling conflicts or process issues.
  • Assist with Talent Acquisition reporting and recruiting metrics, including time-to-fill, pipeline health, source effectiveness, and other key performance indicators.
  • Support workforce planning initiatives through data gathering, organizational reporting, and talent insights.
  • Assist in developing and maintaining employer branding initiatives, including career site content, social media recruiting campaigns, employee referral programs, and recruitment marketing materials.
  • Participate in Talent Acquisition process improvement projects focused on automation, candidate experience, operational efficiency, and recruiting best practices.
  • Support implementation and optimization of recruiting technologies, including ATS enhancements, interview scheduling tools, CRM initiatives, AI recruiting capabilities, and recruiting analytics.
  • Coordinate recruiting events, career fairs, university partnerships, and other talent attraction activities.
  • Build strong partnerships with recruiters, HR, hiring managers, and external vendors to ensure a high-quality recruitment process.
  • Scheduling high-volume interviews across multiple stakeholders.
  • Maintain confidentiality while handling sensitive candidate and organizational information.

 

 

POSITION QUALIFICATIONS

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • 0-3 years of experience in Talent Acquisition Coordination, Recruiting Operations, Human Resources, or administrative support.
  • Experience working within an Applicant Tracking System (Greenhouse preferred).
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong customer service mindset with a passion for delivering an exceptional candidate experience.
  • Proficiency with Microsoft Office Suite and Google Workspace; experience with recruiting analytics and reporting is a plus.
