Position Title: Executive Assistant to the Senior Pastor
Reports To: Senior Pastor (in coordination with Executive Director)
Status: Full-Time

Position Summary

The Executive Assistant to the Senior Pastor provides high-level administrative and organizational support to the Senior Pastor in order to advance the mission and ministry of the church. This role manages the Senior Pastor's schedule, communications, and priorities while ensuring effective coordination with staff, elders, ministry leaders, and the congregation.

The Executive Assistant serves as a trusted partner, helping steward the Senior Pastor's time, facilitating clear communication, and supporting strategic ministry initiatives in a fast-paced church environment.


Key Responsibilities:

Executive Support

  • Manage and maintain the Senior Pastor's calendar, scheduling meetings, ministry commitments, travel, and speaking engagements.
  • Anticipate needs and proactively manage priorities to maximize the effective use of the Senior Pastor's time.
  • Prepare agendas, documents, and materials for meetings, events, and ministry initiatives.
  • Assist the Senior Pastor in tracking ministry priorities, projects, and follow-ups.
  • Support the Executive Director as needed with administrative tasks 

Communication Management

  • Serve as a primary point of contact for the Senior Pastor's office, managing correspondence, emails, and phone calls as appropriate.
  • Draft, edit, and coordinate written communication on behalf of the Senior Pastor.
  • Facilitate communication between the Senior Pastor, staff, elders, ministry leaders, and members of the congregation.

Meeting & Ministry Coordination

  • Coordinate meetings for the Senior Pastor, including sessions with elders, staff leadership, and ministry teams.
  • Prepare meeting materials, record notes when necessary, and track action items and follow-ups.
  • Assist with preparation for Session meetings and other leadership gatherings.

Administrative Operations

  • Maintain organized digital and physical filing systems for the Senior Pastor's office.
  • Coordinate travel arrangements, itineraries, and expense tracking.

Confidential Support

  • Handle sensitive information with a high level of discretion and professionalism.
  • Support the Senior Pastor in managing confidential pastoral matters appropriately.

Ministry & Event Support

  • Assist in coordinating key church events, leadership retreats, or special ministry initiatives connected to the Senior Pastor or Executive Director's leadership.
  • Help facilitate guest speakers or special ministry partners hosted by the Senior Pastor

Requirements

Education & Experience

  • Bachelor's degree preferred.
  • 3-5+ years of experience providing executive-level administrative support, ideally in a church, nonprofit, or ministry context.
  • Experience supporting senior leaders in complex organizational environments is strongly preferred.

Skills & Competencies

  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Ability to manage multiple priorities in a fast-paced ministry environment.
  • Strong interpersonal skills and the ability to interact with staff, elders, volunteers, and congregants.

Work Environment

This role operates within a dynamic church environment serving a congregation of approximately 2,000 members. The Executive Assistant must be comfortable interacting with church leadership, staff, volunteers, and congregants while maintaining professionalism and confidentiality.

  • All employees must perform their duties in alignment with the mission and ministry of Christ Presbyterian Church and in accordance with the CPC Policies and Procedures Manual and the Westminster Confession of Faith
  • All employees must be evangelical Christians, committed followers of Christ who affirm and support the church's Statement of Faith and mission
  • Active membership in a local evangelical church that affirms the inerrancy of Scripture
  • Demonstrated appreciation and sensitivity toward the diverse backgrounds of current and prospective members of CPC.
