Executive Assistant Strategic Partner

The Executive Assistant Strategic Partner serves as a highly trusted operational and strategic support partner to the SVP of Infrastructure and Infrastructure Leadership Team.

This role is responsible for driving organizational execution, leadership cadence, accountability follow-up, and executive operational effectiveness across the Infrastructure business. The position plays a critical role in ensuring strategic priorities are translated into organized actions, tracked effectively, and executed consistently.

A major responsibility of this role is ownership and coordination of the Infrastructure Management Operating System, including weekly, monthly, quarterly, and annual leadership rhythms, meeting coordination, action tracking, KPI visibility, and strategic follow-up.

The role acts as a force multiplier for leadership by removing operational coordination burden, improving execution discipline, maintaining organizational alignment, and ensuring leadership priorities continue moving forward. This individual must possess exceptional organizational capability, urgency, professionalism, discretion, follow-through, and the ability to operate effectively within a fast-paced executive environment.

Strategic Operations & Leadership Execution

  • Own and coordinate the Infrastructure Leadership Management Operating System (EOS-style cadence)
  • Coordinate weekly, monthly, quarterly, and annual leadership meetings and execution rhythms
  • Build and manage meeting agendas in alignment with strategic priorities and business objectives
  • Attend leadership meetings and capture action items, priorities, decisions, and follow-up requirements
  • Organize, assign, track, and monitor action items and leadership commitments through completion
  • Maintain accountability systems to ensure strategic initiatives continue progressing forward
  • Track and maintain leadership scorecards, KPI visibility, rocks/priorities, and execution dashboards
  • Drive visibility and follow-up of overdue tasks, unresolved issues, and cross-functional commitments
  • Support annual planning, quarterly planning, budgeting preparation, and strategic review sessions
  • Coordinate preparation of presentations, reports, leadership updates, and planning materials
  • Help improve operational discipline, meeting effectiveness, communication flow, and execution consistency across the business
  • Assist with implementation and continuous improvement of operational processes and management systems
  • Support cross-functional coordination of major initiatives, priorities, and leadership deliverables
  • Serve as a trusted operational partner to leadership by helping maintain momentum on critical business priorities

Executive & Administrative Support

  • Leadership Meeting Coordination
  • Act as facilitator and coordinator for designated leadership meetings
  • Schedule and coordinate meetings across departments, locations, and time zones
  • Prepare meeting agendas in consultation with leadership team members
  • Compile and distribute meeting minutes, action lists, and follow-up documentation
  • Ensure meetings remain organized, action-oriented, and execution-focused
  • Coordinate off-site meetings, leadership workshops, and strategic planning sessions
  • Calendar & Executive Coordination
  • Manage executive calendars and scheduling priorities
  • Protect executive focus time and strategic work blocks when appropriate
  • Resolve scheduling conflicts and coordinate competing priorities
  • Coordinate customer meetings, leadership meetings, and internal planning sessions
  • Anticipate scheduling challenges and proactively maintain organizational alignment
  • Assist with executive email inbox management including prioritization, organization, and follow-up coordination
  • Monitor and triage incoming communications to help ensure urgent, strategic, and high-priority matters receive timely attention
  • Draft, organize, and coordinate email communications, responses, and follow-up actions as requested
  • Help maintain executive responsiveness, communication flow, and organizational alignment across internal and external stakeholders
  • Project & Business Support
  • Assist leaders with project coordination and organizational follow-up
  • Prepare documents, spreadsheets, reports, presentations, and business summaries
  • Support reporting activities and organization of operational data
  • Maintain organized digital filing systems and documentation structures
  • Assist with onboarding coordination for new team members and leadership support activities
  • Travel & Event Coordination
  • Coordinate business travel arrangements including flights, hotels, itineraries, and logistics
  • Provide private travel support as requested
  • Coordinate customer visit logistics, facility tours, and leadership event support
  • Assist with company events, training coordination, and leadership off-site planning
  • Defense Operations & Compliance Support
  • Support the Defense Business Unit with coordination related to compliance, security, and credentialing activities
  • Assist with tracking and maintaining security clearance documentation, badging requirements, training records, and compliance-related deliverables
  • Help coordinate customer, facility, and government access requirements
  • Maintain confidentiality and professionalism while handling sensitive information
  • Support internal coordination associated with government, defense, and regulated project requirements
  • Assist with organization and tracking of compliance documentation and reporting activities

Work Environment

  • Highly collaborative open office environment
  • Fast-paced executive and operational setting requiring adaptability and responsiveness
  • Occasional travel may be requested

Work Schedule

  • Standard Work week M-F 7:00AM to 5:00PM
  • Flexibility may occasionally be required to support leadership activities, travel coordination, or business priorities

Required Skills/Qualifications

Minimum 5+ years supporting executive leadership teams in highly organized, fast-paced environments Experience supporting operational execution, project coordination, leadership cadence, or strategic follow-up activities preferred Experience coordinating cross-functional initiatives and leadership priorities preferred Strong business operations, organizational coordination, and executive support experience required

High School Diploma required Degree in Business, Operations, Communications, or related field preferred
