Job description

Premier Global Alternative Investment Firm/Asset Manager in Midtown Manhattan is seeking a new Full-Time/Permanent Assistant to join its Strategic Finance Team! This person will be supporting the Head of Strategic Finance in addition to a team of executives in the group. Candidates must have a minimum of 7-10+ years of applicable high-level executive administrative support experience working in financial services (required; ideally out of a large, recognizable firm; no jumpy resumes!) and a Bachelor's degree is required. They should be incredibly polished and professional, overly detailed, proactive, organized, accustomed to working in a fast-paced, dynamic environment, and possess excellent interpersonal and communication skills. Salary depends on experience ( 120k base), plus BUILT-IN guaranteed paid overtime and discretionary bonus eligibility (25k target bonus) - all-in 165k+ total comp. AMAZING benefits/perks, free breakfast/lunch, gym, and much, much more.
Hours are 9:00am-6:00pm, with flexibility to work OT as needed. Hybrid 4/1 work schedule.
Responsibilities:
  • Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents, and coordinate visas
  • Schedule and organize meetings, conferences, and off-sites, including all related logistics.
  • Allocate and process expenses for executives, including American Express and Out of Pocket expenses using the Concur expense management system.
  • Screen a large volume of incoming calls and greet guests in a professional and courteous manner.
  • Prepare and edit relevant materials for team, including Word documents, PowerPoint presentations, and Excel Spreadsheets.
  • Establish, develop, maintain, and update e-filing system.
  • Handle recruitment coordination and logistics for new employees on the team in partnership with Human Capital.
  • Compose strategic communications such as letters, memos, invitations, agendas, and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format for consistency, and make the appropriate changes.
  • Manage work priorities independently and respond to business outside of normal business hours as needed.
  • Perform other related general administrative tasks for executives as assigned and required.
  • Use US Mail, FedEx, and other services to send and track priority mail.
  • Coordinate closely with team and other assistants to provide phone coverage and back-up assistance.
  • Allocate and code invoices using OneVue system as needed.
  • Facilitate vendor onboarding process.

Requirements/Qualifications:
  • Minimum 7-10+ years of applicable high-level executive administrative support experience working in financial services (required; ideally out of large, recognizable firm).
  • Bachelor's degree required.
  • Ability to thrive in a fast-paced and rigorous work environment.
  • Demonstrated ability to prioritize competing demands and meet deadlines
  • Strong initiative and ownership of responsibilities.
  • Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues, and take appropriate action.
  • Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact, and diplomacy.
  • Superb written and verbal communication skills. Strong attention to detail when composing and proofing materials required.
  • Ability to succeed in a collaborative administrative team environment while maintaining a positive, solutions-oriented mindset.
  • Extensive knowledge of Microsoft Outlook and proficiency in Excel, Word, and PowerPoint.
  • Working knowledge of office administrative procedures and operating standard office equipment.
