Role Overview

Britescape, Fine Gardening & Outdoor Lighting Specialists, is looking for a versatile Bookkeeping Assistant to support our daily business functions by maintaining meticulous financial records. Working in tandem with the Business Manager, the right candidate will ensure every transaction is captured accurately across both Aspire and QuickBooks Online, while providing exceptional service to our clients.

Key Responsibilities
  • Accounts Receivable (A/R): Generate and send customer invoices weekly, manage the collections process via phone/email, and process payments within the Aspire platform.

  • Accounts Payable (A/P): Manage the bill payment cycle for approved expenses, set up new vendors in QBO, and ensure W-9s are collected and filed.

  • Data & Receipt Management: Monitor the accounting inbox daily, capture digital receipts, and enter/match them accurately into both Aspire and QBO.

  • Bank Feed Maintenance: Clear QBO bank feeds regularly, match transactions, and research discrepancies.

  • Month-End Prep: Track down missing receipts and documentation to ensure the Business Manager has a "clean slate" for the monthly close.

  • Administrative Support: Respond to client billing inquiries via phone and email with a professional, "Britescape Way" attitude. Assist with special projects, data entry, and spreadsheets as needed.

Required Qualifications
  • Experience: Minimum 1 year of professional, general bookkeeping or accounting clerk experience.

  • Software Proficiency:

    • QuickBooks Online (Required)

    • Microsoft Excel (Basic to Intermediate)

    • The Aspire Bonus: Prior experience with Aspire Software is a significant plus.

  • Communication: Excellent verbal and written English for client-facing collections and team interactions.

  • Organization: High attention to detail with the ability to shift smoothly between heads-down financial tasks and customer support.
